Job Description
The Fort Worth Zoo is one of the premier zoological parks in the nation, dedicated to conserving and showcasing wildlife in an engaging and educational environment. This full-time position at the Fort Worth Zoo plays a crucial role in ensuring the successful execution of special events and group outings, which are an integral part of the zoo’s offerings. The Event Operations Manager is responsible for overseeing all facets of event set-up, maintenance, and breakdown, guaranteeing smooth operations from the initial planning stages through to the conclusion of each event. This managerial role demands strong leadership skills as it involves hiring, training, scheduling, and developing event personnel. Staff management is essential to efficiently coordinate activities such as setup, tear-down, cleanliness, restroom attendants, kitchen and bar support, and guest greeting.
In this role, the Event Operations Manager must maintain the condition and cleanliness of equipment and facilities, manage equipment inventories, procure necessary supplies, and coordinate equipment storage and transportation. Additionally, safety protocols must be established and maintained for all department activities to protect employees and guests. Budget preparation and management fall under the scope of this position, requiring financial oversight to ensure events are conducted within allocated resources.
The responsibilities extend to developing detailed checklists and logistics plans for upcoming events, communicating schedules and needs clearly to all relevant parties, and fostering effective collaboration with other zoo departments and external vendors. This role is demanding and dynamic, often requiring working irregular hours that include nights, weekends, and holidays to support events as scheduled. The ability to work under variable weather conditions and in physically demanding situations is necessary.
Supervisory duties encompass directing staff, providing ongoing coaching and evaluations, and resolving work-related challenges. The Event Operations Manager will also monitor attendance, labor distribution, and report on overtime. Job Duties
- Manage activities related to the set-up, operation and tear-down of special events and group events including all aspects of event set-up and breakdown
- coordinate staffing all aspects of the event including set-up, tear-down and support during events
- provide staff for all support areas during events including cleanliness, restroom attendants, bar and kitchen support, and greeting
- maintain appearance, condition and cleanliness of all equipment and facilities used for events and report repair needs to appropriate personnel
- inventory all equipment and supplies needed for events and make purchases as needed
- coordinate proper storage of event equipment and transport of equipment from storage areas to event spaces and vice versa
- hire, train, schedule and develop event operations personnel
- establish and maintain safety protocols for all department activities, facilities and equipment
- prepare and manage the department budget
- develop checklists for events, projects and training including those related to stage logistics and maintenance
- plan the logistics of upcoming events including detailed set up, staffing and tear down plans using schedules and checklists
- communicate events plans, needs and schedules to department supervisors and staff
- communicate effectively and professionally with other event support departments and vendors
- develop ongoing special project plans for special event areas
- work events as schedules and operations dictate including those at night and on weekends
- establish and maintain professional relationships and open communications with other departments and vendors including those directly involved in the planning and execution of events
- maintain knowledge of the Fort Worth Zoo layout and group event operations
- monitor employee, time, attendance and overtime and compile monthly labor transfer reports for all events
- assist other departments as needed
- demonstrate leadership of employees through ongoing training to include applicable laws, Zoo policies, business conduct and ethics and the provision of quality services to guests and employees supporting the highest level of program integrity
- provide effective direction, supervision and evaluation of staff including ongoing coaching and guidance
- plan, direct and coordinate the work plan for staff including assigning work activities and projects and continuously reviewing and evaluating methods and procedures
- select, hire, train, motivate and evaluate assigned personnel including coordinating employee training and work with employees to correct deficiencies and resolve problems
- monitor work environment of staff including participating in the review, investigation and implementation of discipline and termination procedures in conjunction with human resources
