Job Description

The Fort Worth Zoo, a renowned and dynamic zoological establishment committed to education, conservation, and providing memorable experiences for guests, is seeking a dedicated Event Operations Manager to oversee all facets of special events and group outings. The Event Operations Manager plays a pivotal role within the zoo’s event management team, responsible for the comprehensive coordination, set-up, maintenance, and breakdown of all special events and group outings hosted at the zoo facilities. This full-time position demands an individual with exceptional organizational skills, leadership capabilities, and a thorough understanding of event operations. The role involves managing and directing the team responsible for various logistical and operational aspects including staffing, equipment inventory, cleanliness, and safety protocols. A typical work schedule for this position often extends beyond regular business hours, encompassing nights, weekends, and holidays to support the timing of zoo events.

In this role, you will oversee staffing needs from hiring and training personnel to planning schedules and assignments that ensure smooth event operations. You will also coordinate with various departments and external vendors, facilitating effective communication to guarantee that all event details are executed according to plan. Your keen eye for detail will be essential as you manage event logistics such as transportation and storage of equipment, maintenance of facilities, and adherence to safety standards. Budget preparation and management will be a key responsibility, as well as developing detailed checklists and operational plans to guide each event and special project.

The ideal candidate for this role will bring 1-3 years of experience in event management or related fields, possess intermediate mechanical skills, and demonstrate a solid foundation in computer operation. Leadership experience and the ability to motivate and evaluate a team are critical, as is a valid driver’s license. Physical demands are a part of the job, including the ability to lift and move equipment up to 50 pounds and work in various weather conditions. The role also requires flexibility to work irregular hours and the capability to thrive in a fast-paced, team-oriented environment.

Job Duties

  • Manage all aspects of event set-up and breakdown
  • coordinate staffing for set-up, tear-down, and support during events
  • provide staff for cleanliness, restroom attendants, bar and kitchen support, and greeting
  • maintain appearance, condition, and cleanliness of equipment and facilities
  • inventory equipment and supplies and make purchases as needed
  • coordinate proper storage and transport of event equipment
  • hire, train, schedule, and develop event operations personnel
  • establish and maintain safety protocols
  • prepare and manage the department budget
  • develop checklists for events, projects, and training
  • plan logistics of upcoming events including set up, staffing, and tear down
  • communicate event plans and needs to supervisors and staff
  • communicate with other event support departments and vendors
  • develop ongoing special project plans
  • work events as scheduled including nights and weekends
  • establish professional relationships with departments and vendors
  • monitor employee time, attendance, overtime, and compile labor reports
  • assist other departments as needed
