Job Description

The Student Union, Inc. at San Jose State University is a 501(c)(3) nonprofit auxiliary organization dedicated to enhancing the collegiate experience for students and the campus community. Located in downtown San Jose, California, the Student Union maintains three significant facilities: the Diaz Compean Student Union Building, the Provident Credit Union Event Center, and the Spartan Recreation and Aquatic Center. As an integral part of the Student Affairs Division on campus, the organization is governed by a Board of Directors comprising a student majority alongside faculty and administrators. Its mission is to support the development, growth, and well-being of students by providing diverse programs, desirable services, and quality facilities that foster a vibrant and engaging campus life.

The Student Union Event Operations Coordinator plays an essential role in maintaining the high standards of event operations across the Student Union's facilities. Reporting directly to the Student Union Operations Manager, this position is primarily responsible for the set-up, operation, and customer service functions associated with the event spaces both within and outside the Student Union. The coordinator supervises and oversees student staff performing event-related tasks, ensuring that all activities are conducted efficiently, effectively, and safely. Attention to detail is critical in this role as the coordinator manages cleaning schedules, aligns event spaces to specific diagram needs, ensures accessibility compliance, and provides necessary equipment and tools.

This role also involves organizing and optimizing event set-up storage areas, maintaining compliance with safety regulations such as fire codes, and collaborating closely with Audio-Visual Services to deliver seamless event experiences. The coordinator often communicates with clients to address last-minute event requests and ensures timely take-down and turnover of spaces for subsequent programs. In addition to operational duties, the coordinator assists with emergency procedures and building evacuations, reinforcing a safe environment for all patrons.

The position requires the coordinator to balance administrative and hands-on responsibilities, including inventory management and the recommendation of improvements to facilities, policies, and procedures. Flexibility in working hours is necessary as the event schedule can extend to evenings, weekends, and include outdoor activities. Job Requirements

  • Bachelor’s degree in a closely related field
  • one year of student or full-time staff supervisory experience
  • experience managing facilities, event spaces, or similar operations
  • current CPR/First Aid and AED certifications required or must be obtained within first month of employment
  • ability to work a schedule including evenings, weekends, and varied operational hours
  • physical ability to lift, carry, push, or pull objects up to 75 lbs
  • capability to work in diverse environments including indoor and outdoor settings
  • must comply with background check and fingerprinting requirements
  • mandatory completion of online compliance training within first month of employment
  • status as mandated reporter under California Child Abuse and Neglect Reporting Act

Job Qualifications

  • Bachelor’s degree in a closely related field
  • one year of student or full-time staff supervisory experience
  • experience managing facilities, event spaces, or similar operations
  • current CPR/First Aid and AED certifications or must obtain within first month of employment
  • preferred two or more years of facility operations experience with direct experience managing events
  • demonstrated experience within a university community including student unions, student activities, residence life, or student development
  • experience with event management and diagramming software
  • ability to articulate the role campus life plays in recruitment, student success, retention, and graduation
  • commitment to college student development and student leadership
  • demonstrated supervisory or management experience including training, coordinating, evaluating, and supervising student employees
  • experience in organizing, prioritizing, and coordinating work activities in a customer service setting

Job Duties

  • Ensures safety and security of Student Union building and its patrons
  • enforces all building policies and regulations
  • supervises student staff and provides scheduling, direction, and oversight of their work to turn spaces and prepare them for campus events
  • coordinates with Event Services and staff for success of programs in various areas of the building
  • ensures full-time, contract, and student staff provide for cleaning of event spaces to provide the highest level of service
  • works with Event Services staff on diagrams, implementation, timing, and scheduling of student staff in preparation of meeting spaces before and after each use
  • oversees and may assist with striking and setting up ballrooms and other event spaces for special events
  • directs building emergencies and evacuations as necessary
  • monitors attendance and traffic within the Student Union facilities to guarantee adherence to state and county regulations such as fire code, accessibility
  • assists in maintaining inventory of supplies and equipment
  • provides for purchases of items necessary for safe event operations areas
  • researches and recommends improvements to the Student Union facilities, policies, and procedures
  • assists with general building facilities support in the absence of the Operations Manager
  • performs additional job-related duties as assigned
