Job Description
The California Center for the Arts, Escondido (CCAE) is a vibrant performing arts and conference center dedicated to enriching the cultural landscape of the community through presenting a diverse range of artistic and community events. Located in Escondido, California, this dynamic facility serves as a hub for entertainment, education, and community engagement. The CCAE is seeking a dedicated and organized Event Operations Coordinator to join their performing arts and conference center team. This full-time, non-exempt position reports directly to the Director of Event Operations and plays an essential role in supporting the planning, coordination, and execution of a variety of events hosted by the center. The coordinator will work closely with multiple departments to ensure the smooth logistics of in-house events, presented season programming, and community gatherings. The position requires a flexible schedule to accommodate evening and weekend events, reflecting the dynamic nature of live event management.
The Event Operations Coordinator will be responsible for overseeing event setups, communication with stakeholders, managing event documentation, and assisting with hospitality coordination for artists, staff, and vendors. Duties will include preparing event estimates and settlements, ensuring proper storage of event-related documents in relevant software such as Caterease and Artifax, and assisting with the physical setup and breakdown of venues. This role demands exceptional organizational skills, strong attention to detail, and the ability to multitask in a fast-paced environment.
Additionally, the coordinator will manage hospitality needs for the presented season artists, including handling catering, dressing room arrangements, and hospitality settlements. The role also involves serving as a runner during shows, supporting tour managers with errands, and maintaining the cleanliness and organization of hospitality areas. Community event coordination is another important aspect of this position, supporting the execution of major festivals like Independence Day and Dia De Los Muertos. The coordinator will work alongside the Community Events Specialist to ensure successful event delivery.
Candidates for this role should have excellent communication, interpersonal, and customer service skills, along with proficiency in various computer programs such as Google Suite, DocuSign, and WordPress. Prior experience in hospitality and performing arts is preferred but not mandatory. The position offers a competitive hourly rate ranging from $20 to $22.50 based on experience and qualifications. Job Requirements
- Minimum of an Associate's degree
- At least 2 years of relevant experience in restaurant, catering or hospitality
- Excellent written and verbal communication skills
- Ability to multitask and manage time effectively in a fast-paced environment
- Proficiency with Google Suite, DocuSign, PayPal, Artifax, Patron Manager, WordPress
- Availability to work nights and weekends when shows occur
- Valid driver’s license
- Physical ability to lift and move up to 20 pounds occasionally
- Discretion and professionalism in backstage areas
- Strong interpersonal and customer service skills
Job Qualifications
- Associate’s degree
- At least 2 years of relevant experience in the restaurant, catering, or hospitality field
- Excellent written, communication, interpersonal, and customer service skills
- Ability to proofread documents
- Strong attention to detail and ability to manage multiple priorities
- Computer skills including proficiency with Google Suite, DocuSign, PayPal, Artifax, Patron Manager, and WordPress
- Knowledge of contract review
- Discretion in backstage areas
- Driver’s license
- Experience in performing arts, visual arts, and hospitality preferred but not required
Job Duties
- Ensure that all event logistics, from setup to breakdown, run smoothly and efficiently
- Communicate with pertinent departments to discuss event requirements in advance
- Create estimates and settlements for all in-house events
- Ensure all in-house events and associated documentation is stored in Caterease, Artifax, and Google Drive
- Prepare and distribute BEO’s for in-house events
- Assist with special event setups and breakdowns including table setup, chair setup, and decorating
- Oversee catering and dressing room needs of artists, staff, and vendors
- Provide estimates and execution of the needs outlined in each artist’s hospitality rider
- Create hospitality settlements for each event
- Utilize personal vehicles to shop for hospitality items and pick up catering
- Act as a runner for shows including errands as requested by the tour manager and occasional transport of artists and touring personnel
- Clean-up and organization of hospitality equipment and dishes post-show
- Maintain a clean and orderly prep kitchen and wardrobe rooms
- Keep linens and towels washed, folded, and in-stock
- Assist community events specialist with coordination and execution of all community events
- Availability for major community festivals including Independence Day, El Grito, Dia De Los Muertos, and Winter Wonderland
