The Event Manager role at Oak View Group is a vital position focused on planning and executing a wide spectrum of events including conferences, trade shows, meetings, exhibitions, social events, and special projects. This full-time position is based at the Arthur R. Outlaw Mobile Convention Center in downtown Mobile, Alabama, a premier 317,000-square-foot facility featuring extensive meeting spaces and award-winning architectural design alongside scenic river views. The annual salary for this role ranges between $50,000 and $55,000.

As an Event Manager, the successful candidate will be responsible for managing the entire lifecycle of event planning and coordination. This involves developing comprehensive operational plans for all setup tasks and floor plans, estimating construction requirements for exhibits and displays, and overseeing vendors and service providers to ensure seamless event execution. A key aspect of the role is working closely with multiple internal departments such as Sales, Marketing, Facility Operations, Security, Finance, Human Resources, and Venue Partners to align event objectives with company goals. The Event Manager also functions as the central point of contact for clients and contractors throughout all phases of event management, facilitating communication and guiding both clients and staff through policies, safety procedures, and operational logistics.

Additionally, the role entails meticulous use of event records management systems, budget management, and vendor relations to optimize financial performance and client satisfaction. The candidate will lead pre-event, during-event, and post-event walkthroughs to ensure compliance with cleanliness, setup, and safety standards. Their expertise will also be called upon for interpreting contracts, resolving event-related challenges, and delivering an exceptional experience to clientele. Through proactive leadership and strong organizational skills, the Event Manager will ensure that all event activities are executed according to plan, supporting both client expectations and the reputation of Oak View Group.

Job Requirements

  • Bachelor's degree from a four-year college or university in event management, hospitality management, or business
  • 3-5 years of event management experience or related public relations, hospitality management, business, or industry experience
  • Working knowledge of the principles of facility management, services, and equipment for a similar facility
  • Experience with budget preparation and control
  • Strong interpersonal, organizational, and customer service skills
  • Excellent oral, written, and presentation skills
  • Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies
  • Problem-solving and communication skills
  • Knowledge of operational characteristics of events
  • Knowledge of crowd management and control techniques
  • Knowledge of principles of supervision, scheduling, and training employees
  • Knowledge of fire and public safety regulations
  • Knowledge of A/V equipment and electronic systems in public assembly facilities
  • Demonstrated proficiency with Microsoft Office Suite
  • Knowledge of Ungerboeck, Social Tables, AutoCAD, Vector, or related event management and design software
  • Certified Meeting Professional (CMP) certification is a plus
  • Possession of, or ability to obtain, a valid driver's license

Job Duties

  • Acts as the central contact during all phases of event management for clients and contractors
  • Receives, assembles, and distributes event information via resumes to team members
  • Provides leadership and guidance for event personnel
  • Oversees and manages all event-related services provided by the venue
  • Ensures team members and clients are familiar with safety and emergency procedures
  • Coordinates and utilizes the event records management system
  • Works with team members to maintain a positive customer service level
  • Handles coordination of events with respect to Event Work Orders and Change Orders
  • Enforces building policies and procedures during events
  • Provides on-floor management of event-related services
  • Sets up and coordinates all primary and pre-event meetings
  • Provides complete schedule and records of on-site show activity
  • Manages budget preparation and maintains vendor relationships
  • Conducts pre, during, and post-event walkthroughs
  • Interprets contract provisions, policies, and procedures for clients
  • Provides exceptional client service
  • Maintains continual communication with clients for event logistics
  • Sends daily post reports during events
  • Prepares post-event settlement with finance department
  • Performs other duties as assigned
