Job Requirements

  • Bachelor's degree preferred
  • Minimum 3-5 years relevant experience

Job Qualifications

  • Bachelor's degree in event management, hospitality, business administration, or related field preferred
  • Minimum of 3-5 years of experience in event or convention services, hospitality, or related industry
  • Experience with convention centers, hotels with meeting or ballroom space, or multi-use venues
  • Strong interpersonal, organizational, and time management skills
  • Excellent communication skills including verbal, written, and presentation delivery
  • Ability to multitask and thrive in a fast-paced, deadline-driven environment
  • Demonstrated customer service expertise with conflict resolution abilities
  • Financial proficiency in forecasting, billing reconciliation, and budget tracking
  • Familiarity with event services, banquet standards, venue management, culinary terminology, and room setup configurations
  • Collaborative team player with ability to coordinate across departments and contract partners
  • Working knowledge of union labor environments
  • Sales minded approach with customer service mindset
  • Bilingual (English/Spanish) highly desirable
  • Proficient in Microsoft Office Suite
  • Knowledgeable in Momentus (Ungerboeck), AutoCAD, and database management tools
  • Experienced with Corrigo or similar work order/maintenance management systems
  • Familiar with Coupa or compatible procurement platforms
  • Certified Meeting Professional (CMP) preferred
  • Certified Special Events Professional (CSEP) considered a plus
  • Project Management Professional (PMP) or similar certifications preferred
  • OSHA 10 Certification a plus
  • Other certifications in sustainability, revenue management, digital event strategy, or venue and exhibition management valued

Job Duties

  • Serve as the primary point of contact for assigned MBCC and MBCC Campus events
  • Coordinate and conduct pre-planning site visits with clients and key stakeholders
  • Facilitate pre-conference meetings and post-event debriefs to communicate event objectives, logistics, and feedback
  • Lead clients in interpreting and complying with Event License Agreements, venue policies, Event Planning Guide, and event best practices
  • Provide exceptional service by understanding needs, anticipating challenges, and proactively resolving issues
  • Support sales teams with site inspections and ensure seamless turnover from sales to event manager
  • Identify upsell opportunities to elevate event experience and generate additional revenue
  • Collaborate with Food & Beverage provider to align operational needs
  • Maintain a visible presence throughout event phases for high-touch service and timely issue resolution
  • Oversee full client experience lifecycle from sales turnover through post-event wrap-up
  • Prepare and distribute event documentation prior to contracted dates
  • Oversee coordination of all venue services and contract partners
  • Maintain strong onsite presence to ensure smooth communication, event execution, and safety compliance
  • Conduct event walkthroughs to ensure readiness, safety, and quality standards
  • Identify and resolve operational challenges collaboratively
  • Leverage Momentus for event planning and communication
  • Utilize Corrigo for preventive maintenance and work order requests
  • Coordinate labor costs and AV/rigging service deposits
  • Prepare and distribute daily event reports to stakeholders
  • Utilize Microsoft Office Suite, Adobe Acrobat, and AutoCAD for planning and reporting
  • Engage with data and technology to support informed decision-making
  • Manage Momentus/NetSuite for event work order tracking
  • Generate and collect event estimates for event-related charges
  • Ensure accurate submission of billable charges to Finance Department
  • Inform clients of event-related charge changes for transparency
  • Support revenue forecasting and ensure procurement compliance
  • Deliver white-glove service from pre-event planning through post-event wrap-up
  • Respond promptly to client, exhibitor, and attendee issues
  • Collaborate on emergency preparedness and risk mitigation protocols
  • Maintain understanding of culinary offerings and banquet standards
  • Champion sustainability and promote green event practices
  • Complete post-event debriefs to support continuous improvement
  • Lead internal and external meetings for alignment and operational readiness
  • Mentor Event Coordinator through coaching and knowledge sharing
  • Collaborate with Food & Beverage provider to ensure coordination and service delivery
  • Perform other event-related responsibilities as assigned
