Job Requirements

  • Bachelor’s degree or equivalent experience
  • Minimum six years of progressive event management experience in DMC, agency, or hospitality
  • Minimum three years in the DMC industry specifically
  • Proven ability to manage multi-day events and diverse client portfolios
  • Strong knowledge of budgeting, forecasting, and profitability
  • Exceptional leadership and team development capabilities
  • Proficient in contract negotiation and vendor management
  • Excellent communication and interpersonal skills
  • Strategic thinker capable of actionable planning
  • Experienced in executive communication and presentations
  • Skilled multitasker with solid decision-making skills
  • Ability to build and maintain client, vendor, and stakeholder relationships
  • Willingness and ability to travel
  • Proficient with Microsoft Office and adaptable to CRM systems like Salesforce and Dayforce
  • Ability to work both independently and collaboratively in a fast-paced environment
  • Physical ability to perform administrative tasks, move within workspaces, occasionally lift up to 30 pounds

Job Qualifications

  • Six or more years of progressive event management experience in a DMC, agency, or hospitality environment
  • Three years of event management experience in the DMC industry
  • Proven track record managing multi-day events and client portfolios
  • Deep understanding of the DMC industry, large-scale event operations, and client lifecycle
  • Expert-level knowledge of budgeting, forecasting, and profitability analysis
  • Exceptional leadership, coaching, and team development skills
  • Advanced understanding of contract negotiation and vendor management
  • Exceptional communication and interpersonal skills
  • Strategic thinker with the ability to translate vision into actionable plans
  • Strong executive-level communication and presentation abilities
  • High proficiency in multitasking, decision-making, and navigating ambiguity
  • Skilled in relationship-building with clients, vendors, and internal stakeholders
  • Solutions-oriented with the ability to work independently and as part of a team
  • Ability to travel to other Cohera office locations by vehicle or airplane
  • Advanced proficiency in Microsoft Office Suite and adaptable to CRM and other software such as Salesforce and Dayforce
  • Knowledge of standard office equipment operation

Job Duties

  • Lead all phases of event management including contracting, planning, budgeting, logistics, and on-site execution for assigned programs
  • Serve as the primary point of contact for clients throughout the planning process and maintain communication during program dates and on-site
  • Ensure program details meet client expectations while adhering to budgets, timelines, and company standards
  • Conduct operational site inspections, planning visits, and walkthroughs
  • Be onsite during program duration, maintaining flexibility and client communication
  • Manage production of program materials including diagrams, manifests, run-of-show documents, schedules, permitting, and vendor confirmations
  • Ensure programs meet profitability targets by tracking costs, managing profit and loss, and maintaining or growing profit margin
  • Oversee billing in collaboration with Program Financial Manager
  • Build and maintain strong client relationships through clear communication and problem-solving
  • Support client experience from contracting through post-event follow-up ensuring satisfaction and repeat business
  • Identify and sell potential upsell opportunities to increase profit margin and provide added value
  • Complete post-program checklists including surveys and post-event communications
  • Collaborate with Sales, Strategic Accounts, Design & Development, Creative Studio, and Vendors for program delivery
  • Communicate successes and best practices to local leadership and teams
  • Manage field staff assignments with Staffing Coordinator
  • Assist across destinations and travel as needed to support operations
  • Share best practices and support training efforts
  • Foster a respectful and supportive team environment reflecting company values
  • Participate in industry functions and hotel partner outings
  • Manage vendor partners including contract negotiation and service quality maintenance
  • Maintain knowledge of local venues, transportation, entertainment, restaurants, and program resources
  • Develop and maintain professional communications with vendors, industry partners, and clients
  • Conduct post-event debriefs and provide feedback on vendor performance
  • Work as a productive team member with initiative and creativity
  • Deliver quality service in a fast-paced environment
  • Make independent decisions and complete work within time parameters
  • Develop innovative ways to improve products and services
  • Respond quickly to changing circumstances and be receptive to new ideas
