The Faculty Affairs and Professional Development (FAPD) office plays a crucial role in fostering a vibrant academic community where faculty members can excel professionally and contribute meaningfully to the school’s mission. The role within the Faculty Affairs and Professional Development office is one of strategic importance and operational excellence. This position centers on event coordination and logistical management, contributing significantly to the delivery of over 125 annual events. These events are designed to enhance faculty onboarding, leadership development, career progression, and engagement. The events range widely from signature lectures and workshops to multi-day programs and recurring faculty development series. Each requires meticulous coordination, strict adherence to established Standard Operating Procedures, and flawless execution to support the university’s educational goals. The role demands a candidate who excels at organization, relationship-building, and providing indirect influence through seamless event delivery.
Responsibilities include detailed planning of a variety of university events, managing budgets, securing vendor contracts, coordinating transportation and catering, overseeing technology and equipment needs, as well as handling signage and other logistical components. The position also requires working closely with internal university stakeholders and external vendors to ensure timely, high-quality service delivery. Additionally, the role involves collaborating with communications and marketing teams for event publicity and maintaining adherence to university policies and contractual agreements. Importantly, the role demands tracking and analyzing event metrics to evaluate effectiveness and return on investment, with a view toward continuous improvement.

Job Duties
- Plan a variety of recurring and ad hoc events for the university and oversee budgets, vendor contracts, transportation, catering, signage, equipment, technology, and other event components
- coordinate event activities prior to and on the day of events
- consult with internal and external constituencies to plan event timelines and specifications and negotiate terms of agreements and contracts
- work closely with vendors and staff to ensure goods and services arrive timely and in acceptable condition
- interface with media and marketing representatives regarding calendar of events and event publicity
- track and analyze event metrics such as attendance, participant feedback, and expenses
- monitor effectiveness and return on investment
- track suggested event improvements for future implementation
- ensure events adhere to university guidelines, policies, contracts, agreements, and specifications
- make procedural and policy recommendations to improve operational efficiency
- provide guidance to lower-level Event Services Specialists and delegate administrative tasks to Event Services Coordinators
