Job Requirements

  • Bachelor's degree or higher in hospitality management, business, marketing or related field
  • Four or more years progressive experience in event planning and management
  • Experience in live or sporting events preferred
  • One or more years experience leading people
  • Direct experience managing budgets of at least 150k USD
  • Proficient computer skills including excel, CRM software and project management tools
  • Ability to multitask in a fast-paced deadline-driven environment
  • Strong time management and prioritization skills
  • Highly adaptable and comfortable making decisions in new or changing situations
  • Bi or multilingual preferred
  • Full-time in-office based in Charlotte NC
  • Prolonged periods sitting at a desk and working on a computer
  • Extensive walking and standing for periods greater than 12 hours while at events
  • Must be able to lift up to 30 pounds
  • Flexibility to work long hours and weekends as needed
  • Willing and eligible to travel domestically and internationally up to 50 percent targeted travel 18-25 percent
  • Eligible to work in the United States

Job Qualifications

Job Duties

  • Responsible for the planning and on-site delivery of hospitality and logistics functions for 12 or more events annually ranging from 200 to 12,000 guests per event
  • Manage physical and digital ticket inventory including receiving, seat assignment, and distribution
  • Fulfill guest orders through multi-step processes such as reporting, shipping label generation, supplier collaboration, quality assurance, packing and assembly, and documentation
  • Coordinate with internal graphic design team to produce credentials, signage, and large format graphics
  • Schedule and manage timelines for guests and staff across fulfillment, transportation, hotel check-ins, tours, and experiences
  • Select, negotiate, contract, and manage vendors and suppliers for transportation, staffing, gifts, and services
  • Set objectives and prioritize tasks for self and team to ensure successful event delivery and execution
  • Ensure accuracy and timely completion of team deliverables
  • Provide hands-on career development and coaching to team members
  • Lead one or more direct reports
  • Manage assigned budget portions, hold team accountable for budget management, and maximize budget utilization
  • Track planned and confirmed expenses accurately and timely
  • Manage on-site expenses and promote fiscal responsibility among travelers
  • Collaborate with department leaders to understand sales projections and adjust budgets accordingly
