The CTML administrative team supports the center’s mission through managing communications, marketing, event planning, and operational logistics. This team plays a crucial role in ensuring the center’s events and communications effectively represent the university’s mission and contribute positively to its reputation.
The Events Manager position within the CTML Administration Team is a critical role responsible for leading and managing various types of events, including CTML annual conferences, high-profile speaking engagements, and other on-site or virtual gatherings. Reporting to the Senior Director of Administration and Finance, this position requires exceptional project management skills, attention to detail, and the ability to coordinate multiple stakeholders including faculty, staff, donors, and VIP guests. The manager ensures events run smoothly, align with strategic goals, and maintain high standards of professionalism and logistical excellence.
The role involves comprehensive event planning from initial concept through execution, including budget preparation, vendor contracting, publicity management, risk assessment, and logistical coordination such as catering, technology support, and transportation arrangements. The Events Manager also maintains the CTML events calendar, contributes to newsletters, and supports internal and external communications to maximize event visibility. Mentorship of less experienced event staff and participation in professional development activities are also key aspects of the position.
Safety, crowd management, and emergency protocols are integral to the job, as events range in size from intimate gatherings to large conferences hosting up to 1,000 attendees. The ability to exercise sound judgment, discretion, and problem-solving skills is essential, as is familiarity with university policies and procedures. Experience with virtual meeting technologies such as Zoom, Facebook Live, and YouTube Live is preferred, as is knowledge of accessibility best practices.
This full-time, exempt position offers a competitive salary range of $83,000 to $89,000 annually, with acknowledgment that offers will be made according to the candidate's qualifications and experience. Job Duties
- Lead research conference planning, project management, and production
- Oversee and execute event-specific tasks including scheduling, publicity, contracting vendors, procuring supplies, and coordinating with speakers
- Manage event logistics including budget preparation, staffing, travel arrangements, and materials preparation
- Contribute to and participate in long-range event planning
- Develop and maintain guest lists ensuring accurate attendee information
- Ensure timely processing of event-related expenses and budget reconciliation
