The role of Events Manager at Associations International is a critical, part-time position focused on the comprehensive planning, coordination, and execution of events specifically for the Women’s Basketball Coaches Association (WBCA). In collaboration with WBCA leadership, the client core team, and various internal departments, the Events Manager will lead all facets of event logistics—from initial planning stages and timeline development to on-site management and post-event evaluation. This role requires a strong project management skill set, excellent negotiation capabilities with vendors and venues, and the ability to maintain a collaborative and proactive approach throughout the event process. The Events Manager acts as a subject matter expert in event execution, orchestrating smooth operational flow, managing speaker and stakeholder coordination, overseeing technology and A/V needs, and handling budget and financial aspects related to events.

Job Requirements
- Minimum of 5 years of experience in event management, project planning, operations, or related field
- Experience working in professional association, nonprofit, or client-services environment preferred
- Bachelor’s degree in business, hospitality, or related field or equivalent combination of education and experience
- Strong project management, organizational, and time-management skills
- Demonstrated experience negotiating and managing hotel, A/V, and vendor contracts
- Excellent written and verbal communication skills
- Marketing-savvy with strong problem-solving and decision-making abilities
- Proficiency with Microsoft Office and standard business technology
- Self-starter with positive, adaptable, and collaborative approach
- Ability to succeed in fast-paced, team-oriented environment
Job Qualifications

Job Duties
- Manage the full lifecycle of WBCA events including pre-event planning, on-site execution, and post-event evaluation
- Develop and manage detailed project timelines ensuring deadlines and deliverables
- Collaborate with WBCA leadership and internal teams to align event logistics with organizational goals
- Create and oversee on-site staffing plans including schedules and roles
- Provide hands-on, on-site leadership for smooth event execution
- Manage speaker logistics including confirmations, contracts, and travel support
- Coordinate with marketing and communications for accurate speaker and program information
- Lead coordination with A/V providers and hotel partners for technical needs
- Manage A/V RFP process, contracting, on-site oversight, and invoice reconciliation
- Research, contract, and manage event mobile app content and updates
- Support management of third-party vendors including contracts and logistics
- Coordinate meeting space, room blocks, food and beverage, and event flow logistics
- Act as key on-site contact for vendors, venues, and stakeholders
- Develop and manage event budgets within assigned areas
- Review and resolve vendor invoices and billing discrepancies
- Identify cost-saving opportunities while maintaining event quality
