As an Event Coordinator, you will be entrusted with the critical responsibility of promoting, pricing, planning, coordinating, and supervising the execution of all special party, banquet, and event functions. Your role is pivotal in ensuring that every event runs smoothly, efficiently, and profitably while strictly adhering to customer requirements and specifications. This position requires a proactive and detail-oriented individual who excels in client communication, contract negotiation, and event logistics management. You will serve as the primary liaison between clients and the event staff, managing all aspects of event preparation from inception through completion. Your duties will include soliciting new event business through strategic promotion efforts such as advertising and client outreach, negotiating and finalizing contracts, managing deposits and payments, and meticulously documenting every detail to ensure flawless event execution.

In addition, the role demands a rigorous review of upcoming events to confirm all specifications are met and that the special events staff is fully briefed and equipped. You will be responsible for procuring necessary equipment and supplies, inspecting event setups, and maintaining continuous oversight during events to guarantee customer satisfaction. Post-event responsibilities include accurate billing, final payment collection, supervising event breakdown, and ensuring proper handling and storage of all materials used. Job Requirements

  • Prior experience in event planning or hospitality preferred

Job Duties

  • Solicit and promote special event business through advertising, cold-calling, contacting past customers, relationships with local businesses and other cost-effective activities
  • Negotiate final pricing, prepare contracts and secure customer signatures
  • Collect deposits as required before the event
  • Document final arrangements with clients on function sheet including number attending, schedule of events and menu
  • Regularly review upcoming events forms and have thorough understanding of all requirements on upcoming scheduled events
  • Prepare all required paperwork including forms, reports and schedules in an organized and timely manner
  • Provide special events staff with a copy of each function sheet to ensure understanding of event specifications
  • Requisition or obtain equipment and supplies needed for each event ensuring they meet customer expectations
  • Inspect event room prior to start of each function ensuring room setup, menu and service staff conform to event form
  • Greet customers prior to each function and be present throughout event to assist
  • Periodically check with customer to ensure satisfaction and respond to any requests
  • Continually observe, direct and assist staff during entire event ensuring all details performed as per event form
  • Prepare and complete accurate bill to customer at completion of function and collect final payment or note other payment arrangements
  • Direct and supervise breakdown and cleanup after event accounting for all equipment and supplies and returning or arranging for return of rented materials
