Job Requirements
- Minimum high school diploma or equivalent
- Experience in event coordination or related field
- Ability to communicate effectively verbally and in writing
- Computer literacy including Microsoft Office and event management software
- Strong organizational skills
- Ability to bend and lift up to 30 pounds
- Ability to set up and take down light equipment
- Valid driver's license
- Ability to work flexible hours including weekends and holidays
Job Qualifications
- Bachelor's degree preferred
- Proven experience in event management or catering sales
- Strong communication and interpersonal skills
- Proficiency with word processing, spreadsheet, PMS, MARSHA, SFA, and Delphi software
- Customer service orientation
- Ability to handle multiple tasks and prioritize effectively
- Attention to detail and commitment to quality
- Professionalism and responsibility
- Experience in hospitality industry is a plus
Job Duties
- Contact client within 72 hours of event turnover from sales or catering
- Detail BEOs and send to client for signature
- Upgrade and up-sell catering menus
- Utilize corporate event planning packages and spa packages
- Be aware of the forecast and budget and fill holes as needed
- Finalize rooming list and guarantees
- Ensure proper credit for direct billing and secure payment method
- Process rooming list and manage changes and cancellations for groups
- Ensure all agreements or contracts are correct and distributed
- Identify and fulfill client needs for event space, audiovisual, and catering
- Contact client 72 hours prior to event to confirm arrangements and obtain final guarantees
- Inspect operations daily
- Maintain high customer satisfaction and quality standards
- Conduct site inspections for prospective customers
- Contact client within 24 hours post-event for feedback and thanks
- Send thank you letter with meeting planner survey
- Hold file until billing is finalized
- Process travel agent commission check requests
- Be familiar with honored guest and Marquis procedures
- Have knowledge of advance deposit procedures and posting checks
- Maintain close working relationship with Culinary Team, Event Operations, Director of Food and Beverage, and Revenue Management
- Identify and recommend new ideas, methods, and markets
- Perform other responsibilities as assigned by Hotel General Manager
