The Event Logistics Coordinator is a key role within BYU, responsible for ensuring that events run seamlessly from planning through execution. This part-time position requires approximately 28 hours per week and focuses on behind-the-scenes coordination that turns scheduled events into professional, well-organized experiences. The coordinator oversees all operational details such as space scheduling, room setups, equipment management, and vendor coordination to ensure every event meets quality standards. This position involves working closely with internal departments and external partners to align resources, comply with venue policies and safety regulations, and handle logistics on the event day. Starting pay ranges from $22.75 to $29.50 per hour, with compensation influenced by the candidate's experience and qualifications.   • Ability to work 1 PM-5 PM and the last Saturday of the month on occasion

Job Qualifications

  • Bachelor's degree in related field preferred
  • Three years of event management experience working with VIP events preferred
  • Two years of event management experience in a professional setting required
  • Highly organized and detail-oriented
  • Clear and professional communicator
  • Ability to manage multiple events and competing priorities in fast-paced environments
  • Commitment to the mission of BYU required

Job Duties

  • Plan and oversee logistics from pre-event preparation through post-event follow-up
  • Coordinate space scheduling, room setups, layouts, equipment, and timelines
  • Communicate setup and breakdown needs to facilities, custodial, audio/visual, catering, and security teams
  • Ensure compliance with venue policies, safety standards, and capacity limits
  • Serve as primary logistics contact for internal teams and external partners
  • Translate event requirements into clear instructions for support teams
  • Confirm event details and troubleshoot changes discreetly
  • Maintain event documentation and systems, including schedules, contracts, billing, and resource coordination
  • Oversee on-site logistics, vendor performance, timelines, and post-event breakdown and reset
