The San Antonio Botanical Garden has been a cherished landmark and educational hub in San Antonio for over 45 years. The Event Facilities Associate role at the San Antonio Botanical Garden is pivotal in ensuring the smooth execution of a wide array of events ranging from intimate meetings to large galas. This full-time position demands flexibility in scheduling, including availability for weekends and holidays, reflecting the dynamic nature of the events hosted at the Garden. The associate is responsible for the preparation, setup, and breakdown of events across the Garden's unique venue spaces. They work directly with the Operations and Events teams to maintain the cleanliness, presentation, and readiness of all event areas as well as support the enforcement of Garden policies during events.
Working at the Garden requires a blend of physical stamina, technical skill, and excellent communication abilities. Day-to-day duties include following detailed setup diagrams and layouts, handling various equipment such as carts, hand tools, dollies, trucks, trailers, and scissor lifts, and performing light cleaning tasks like mopping and floor buffing. Expertise in operating AV systems in the venue is a significant aspect of this role, as it contributes to memorable event experiences. The position calls for the ability to work independently and as part of a team while traversing the beautiful Garden grounds in diverse weather conditions. Job Requirements
- High school diploma or general education degree (GED)
- Preferred experience in event setup, hospitality, catering, AV or a related operational support role
- Strong written and verbal communication skills
- Proficiency in Microsoft Office Suite
- Ability to work independently as well as in a team environment
- Must successfully pass a criminal background check
- Availability to work weekends, evenings, or holidays as needed
- Must be able to lift up to 50 lbs, climb ladders, bend, kneel, and squat as needed
- Ability to work indoors and outdoors in various weather conditions
- Demonstrate the San Antonio Botanical Garden’s core values
- Ability to follow detailed event setup diagrams and schematics accurately
- Willingness to operate venue equipment including carts, hand tools, trucks, trailers, dollies, and scissor lifts
- Must maintain high standards of cleanliness and venue readiness
Job Qualifications
- High school diploma or general education degree (GED)
- Preferred experience in event setup, hospitality, catering, AV or a related operational support role
- Bi-lingual or multi-lingual is a plus
- Strong written and verbal communication skills
- Proficiency in Microsoft Office Suite
- Ability to work independently as well as in a team environment
- Must successfully pass a criminal background check
- Availability to work weekends, evenings, or holidays as needed
- Must be able to lift up to 50 lbs, climb ladders, bend, kneel, and squat as needed

Job Duties
- Assist the operations and events teams in maintaining the cleanliness, organization, and readiness of all event venues
- Set up and break down event spaces according to provided diagrams, layouts, and schedules
- Read and follow event setup diagrams, schematics, and schedules accurately, including assembling and disassembling stages, dance floors, and other event-related equipment
- Operate venue space AV systems with full working knowledge
- Maintain overall venue presentation, ensuring all spaces are prepared for site visits and upcoming events
- Support the enforcement of San Antonio Botanical Garden policies and procedures within event spaces
- Use equipment including carts, hand tools, trucks and trailers, dollies, and scissor lifts safely and effectively
