The Event Coordinator role is an integral part of our operations team, responsible for overseeing all aspects of event planning and execution within the venue. This position requires a proactive and organized professional who can effectively liaise with various stakeholders including promoters, sports teams, show representatives, department heads, and facility staff to ensure the smooth delivery of all events. The coordinator's duties span from initial event preparation such as coordinating security staffing plans and labor management, to post-event activities including report generation and financial reconciliation. Key responsibilities also include gathering and distributing vital event information, managing customer service interactions on behalf of the venue, and coordinating the logistical operations necessary to support each event. This role demands a high level of communication skills to provide timely updates and collaborate with multiple departments like sales, operations, and marketing to achieve flawless event execution. Candidates must be prepared to work flexible hours that may include nights, weekends, and holidays to accommodate the scheduling demands of a busy event calendar. Familiarity with software such as Microsoft Office suites and CAD software is preferred to enhance efficiency and accuracy in event setup and documentation. Job Requirements

  • 4-year degree from a college or university preferred
  • 1 year experience in same or similar position in arenas, convention centers, stadiums or theaters preferred
  • ability to work flexible and sometimes demanding schedules including nights, weekends, holidays and extended hours
  • experience with Microsoft Office products and CAD software preferred

Job Duties

  • Advance each show/event with appropriate show/promoter representative in a timely fashion
  • communicate all event information to the appropriate departments and staff
  • develop accurate event seating information with the sales manager and operations manager and ensure event set-ups are accurate
  • communicate in a timely manner with each department head regarding specific needs and information for each event
  • prepare and distribute event data sheet to all staff and departments in a timely manner
  • prepare post event report for all events coordinated
  • meet with facility sports tenants to collect and distribute game requirements and coordinate efforts to produce tenant events
  • work with promoters and agents to coordinate facilitate client needs for each event and provide cost estimates as required/requested
  • prepare and submit expenses for event settlement and attend settlement if required
  • execute other operational duties as assigned
