The Event Coordinator position at the Greensboro Aquatic Center (GAC), operated under the OVG umbrella, offers a unique opportunity to be involved at the heart of aquatic sports event management and execution. The Greensboro Aquatic Center, which opened in 2011, is recognized nationally as a premier aquatic sports facility, supporting competitive swimming, diving, water polo, synchronized swimming, and other aquatic events. Located within the Greensboro Coliseum Complex, the GAC plays a significant role in hosting a variety of local, regional, national, and international aquatic competitions, driving an estimated $224 million economic impact on the region.

As an Event Coordinator, you will be responsible for organizing, assigning, reviewing, developing, implementing, and administering Aquatic Special Events and services at the GAC. This role is integral to the successful hosting of events including swimming, diving, artistic swimming, water polo, and other special meets. You will work closely with the Aquatic Center Department Manager and Events Manager to support a variety of events from local meets to international competitions. The hourly pay ranges from $22.00 to $25.00, with full-time roles offering comprehensive benefits including health, dental, and vision insurance, a 401(k) savings plan with matching, and paid time off including vacation days, sick days, and 11 holidays.

This role demands strong organizational skills, customer service acumen, and the ability to multi-task in a dynamic environment. You will coordinate move-in and set-up for events, communicate event requirements with meet hosts, and ensure space and equipment specifications are met effectively. Additionally, this position involves oversight of event staffing schedules, preparation of event labor reports, and serving as a representative at staff meetings and committees. Digital marketing skills are valued as you will manage social media accounts and promote events via collaborative efforts with local marketing and tourism bodies. Job Requirements

  • 1-2 years of event planning experience
  • strong customer service experience

Job Duties

  • Oversee and participate in all aspects of move-in and set-up for meets
  • Work closely with the meet host to determine general production and space specifications for meets and other aquatic special events including move-in, deck layouts, competition or special event services, and move-out
  • Prepare an event information report including equipment and staffing requirements
  • arrange catered meals
  • coordinate with other Greensboro Complex departments to ensure multi-event use coverage
  • Inspect set-up and preparations to ensure compliance with event requirements
  • Coordinate with Aquatic Center staff and Event Operations during events including lifeguards, event staff, and housekeeping
  • Participate in a variety of duties during events including meet host, routine and emergency maintenance and equipment set-up, meet administration and technical support, opening/closing duties
  • Prepare the monthly event staffing schedule
  • notify employees and make adjustments as necessary
  • Prepare event labor and other related reports including event budgets and summary reporting
  • Serve as GAC representative for staff meetings with other department staff and committees as needed
  • Maintain social media accounts including Instagram, Facebook, and LinkedIn
  • Create and publish content to support marketing initiatives and enhance brand visibility across social media platforms
  • Coordinate with Greensboro Complex Marketing Team, Greensboro Sports Foundation, and Convention and Visitors Bureau to promote sports tourism through collaborative advertising efforts
  • Maintain in-venue advertisement system that displays various marketing content
  • Create and design assigned content including presentations, flyers, documents, collages, event logos, and signage
  • All other duties as assigned
