The Event Coordinator role at the Orlando Science Center is a pivotal position contributing to the seamless execution of all events hosted within the facility. This part-time role involves overseeing wedding events and various event rentals with a meticulous focus on event coordination and logistics. Working closely with the Manager of Events, the Event Coordinator ensures that all aspects from setup through to breakdown are professionally managed to meet and exceed clients' expectations. Responsibilities include interaction with clients to customize event layouts, recommending vendors, conducting wedding rehearsals, and managing communication among participating vendors and internal departments. The coordinator acts as the on-site representative during events to guarantee that the load-in process, client needs, and logistical components are handled effectively.

Additional duties extend to maintaining a safe environment during events, collecting rental payments, and creating detailed event production schedules to streamline operations. The Event Coordinator is empowered to make on-the-spot decisions during after-hours events, demonstrating both leadership and problem-solving skills. This role demands physical activity such as moving throughout the museum spaces, managing event setups including lifting items up to 50 pounds, and being present on-site during events, especially on weekends and after hours. Candidates should be enrolled in or have completed college-level courses related to event or wedding management. Previous experience in educational events, weddings, or professional meetings is preferred but not required.

Job Requirements

  • Enrolled currently or completed college level courses in event or wedding management
  • ability to work weekends and after hours
  • must be available for on-call emergencies
  • ability to remain stationary and move throughout museum spaces frequently
  • ability to lift and move equipment up to 50 pounds
  • must be onsite 100 percent of the time
  • willingness to work varied hours based on organizational needs

Job Qualifications

  • Currently enrolled in or completed college level courses related to event and wedding management
  • at least one year of educational events or wedding planning experience preferred
  • or one year of professional meetings and events experience
  • excellent communication and organizational skills
  • ability to work weekends and after hours
  • strong problem solving and decision making skills
  • ability to oversee vendors and coordinate logistics efficiently

Job Duties

  • Work with clients to create set up for event space, recommend vendors, and assist in event planning
  • conduct wedding rehearsals to review ceremony details and practice entrance and exit
  • direct set up crew for placement of tables and chairs and guide vendors to their locations
  • schedule vendor load-in, confirm table and power needs, and verify event details
  • maintain a safe and secure environment during events and communicate concerns to onsite House Manager or vendors
  • keep a running tally of event related costs and collect final payments from clients
  • create and maintain event production schedules including vendor load in, special needs, and timelines
  • act as on-site decision maker during afterhours events
  • perform other related tasks as assigned
