The Event Coordinator role is based at the Stormont Vail Events Center in Topeka, Kansas, a multi-purpose 10,000-seat arena built in 1987 with a rich history in agriculture, exhibitions, education, and entertainment. This role focuses on managing all aspects of events held within the venue, ensuring smooth operational coordination from initial development to event completion. The Event Coordinator is responsible for working closely with promoters, show representatives, sports teams, and various internal departments to ensure that all event details are accurately handled. Duties include security staffing plans, labor management, billing assistance, customer service, and logistical planning for event-related departmental activities.
This position offers an hourly wage between $16.50 and $18.00 and includes comprehensive benefits for full-time employees, such as health, dental, and vision insurance, 401(k) savings plan with matching, and paid time off including vacation, sick days, and holidays. Job Requirements

Job Qualifications
- Four-year degree from a college or university preferred but not required
- One year of experience in arenas, convention centers, stadiums, or theaters preferred
- Experience with Microsoft Office products preferred
- Knowledge of CAD and Ticketmaster ticketing software preferred
Job Duties
- Advance each show/event with the appropriate show/promoter representative in a timely fashion
- Communicate all event information to the appropriate departments and staff
- Develop accurate event seating information with the Box Office Manager and Operations Manager and ensure event setups are accurate
- Communicate in a timely manner with each department head regarding specific needs and information for each event
- Prepare and distribute Event Data Sheet to all staff and departments in a timely manner
- Prepare post-event report for all coordinated events
- Meet with facility sports tenants to collect and distribute game requirements and coordinate efforts to produce tenant events
- Work with promoters and agents to coordinate and facilitate client needs for each event and provide cost estimates as required/requested
- Prepare and submit expenses for event settlement and attend settlement if required
- Execute other operational duties as assigned
