The role of Live Media Event Coordinator at Robb Report involves playing a critical part in the planning and execution of exclusive, high-profile events. The coordinator will support the Live Media team, which produces 30 distinct experiences annually for an elite audience of tastemakers. This position focuses on organizing and overseeing the logistics of events to ensure flawless delivery from inception through post-event wrap-up. Responsibilities include coordinating production timelines, handling vendor communication, managing event materials and assets, and supporting partner activations to create engaging, memorable experiences for guests. The Live Media Event Coordinator supports key leadership, including the Vice President of Live Media and the Partnership Integration Manager, ensuring that event execution aligns seamlessly with brand and partnership goals.
This role also demands strong logistical coordination skills, including managing load-in/load-out schedules, shipping of production assets, and maintaining the necessary materials for on-site event support. The coordinator will be tasked with traveling to various event locations to facilitate client-facing programming and administer critical event functions on-site. Additionally, the role involves tracking event outcomes and analyzing performance to inform future strategies. Staying abreast of event trends, researching venues, and maintaining vendor relationships are essential components of this position. The coordinator is also expected to contribute creative ideas during brainstorming sessions to refine and enrich live event activations.

Job Duties
- Plan and coordinate production logistics pre, during, and post-event
- assist in setting, communicating, and maintaining timelines, scope of work deliverables, and priorities of event production needs for the internal team as well as vendors
- support Vice President of Live Media and Partnership Integration Manager to ensure exemplary design, delivery and execution of partner activations at live events
- support Guest Experience team with assets and information necessary to ensure a seamless integration of event attendees
- coordinate load-in/load-out schedules with vendors on-location to facilitate smooth pre/post event operations and logistics
- coordinate and execute pre-and-post event shipping of production assets to/from event venues
- coordinate and maintain "road box" containing production supplies supporting needs of on-site event activations
- travel to/from various event locations to plan and execute client facing programming
- track key event elements and provide post-event analysis/details to the sales team to share with sponsors and partners
- conduct and report on regular study and market review of event trends and leading vendors
- conduct consistent venue research for event locations throughout the year and maintain a database of preferred vendors
- participate in brainstorming and ideation supporting live event activations for partners and guests
