The role of Event Coordinator at City & State represents a pivotal position within the organization, contributing significantly to the successful execution of its extensive event calendar, comprising approximately 20 to 30 events annually. This role positions an individual right at the nexus of strategic event management and political engagement, supporting the director of events in a capacity that requires extraordinary organization and proactive communication skills. The Event Coordinator will handle a wide range of responsibilities including managing event websites and digital platforms such as Eventbrite and Zoom, tracking attendance, updating event materials post-event, and supporting marketing efforts to maximize audience reach.
Furthermore, this role involves detailed speaker coordination responsibilities. This includes gathering speaker bios and photographs, managing communication with speakers, facilitating practice sessions, and collaborating with moderators to ensure smooth panel operations. Effective sponsorship implementation is a critical component, requiring the coordinator to integrate sponsor logos, maintain attendee-sponsor interactions, and fulfill related logistic duties. The Event Coordinator will also handle the procurement and organization of supplies, awards, and coordinate messenger services for event needs. Another vital aspect involves managing registration processes, including maintaining updated attendee lists and providing reports to sales teams.
The role demands on-site preparation and set-up duties, ensuring all event materials such as badges and signage are organized and ready well in advance. Post-event, the coordinator is responsible for updating records and supporting the broader events team through everyday administrative tasks. Job Requirements
- Bachelor's degree or equivalent
- Two to eight years of relevant experience
- Strong interpersonal and communication skills
- Proficiency in writing and computer usage
- Ability to multitask effectively under deadlines
- Detail-oriented with good judgment
- Capacity to work productively with minimal supervision
- Ability to attend all scheduled events including some evenings

Job Duties
- Create and manage event websites
- Create Eventbrite and Zoom event pages
- Continuously track event attendance
- Update event websites post-event
- Assist in marketing and promotion to grow event audiences
- Coordinate speaker bios, photos, and communications
- Send out event related emails and Zoom links
- Confirm details with speakers and coordinate practice sessions
- Coordinate moderators and organize prep sessions
- Implement sponsorship elements including logos and attendee connections
- Order supplies and coordinate messenger services
