The Events Coordinator role is a pivotal full-time or contract opportunity within the LUCAS Restaurants team, responsible for the seamless planning and execution of events across multiple venues in the group. This position demands meticulous organizational skills, exceptional communication, and the ability to manage multiple client and operational requirements simultaneously. As an Events Coordinator, you will collaborate closely with the Events, Sales, and Marketing departments to ensure each event meets the high standards expected by LUCAS venues. You will oversee all phases of event management including client liaison, booking and coordinating external suppliers, updating event information systems, managing payments and accounts, and ensuring operational teams are fully informed to guarantee flawless service delivery.

The role requires a solid background in event coordination with a minimum of two years' experience in similar roles, alongside strong knowledge of event processes, guest service, and restaurant operations. Experience with event software such as Res Pak, Tripleseat, or Seven Rooms is highly regarded but not mandatory, while formal education in Event Management or related fields is preferred. This role also offers flexibility, with both full-time employment and maternity leave contract options available.

Job Duties

  • Plan and manage events
  • Respond to enquiries and follow through
  • Manage enquiry list
  • Liaise with clients
  • Provide end-to-end service delivery of all booked functions and events
  • Update event systems with confirmed data and details
  • Set up accounts in venue and track and process payments
  • Book external suppliers as needed
  • Manage confirmations
  • Complete event orders and ensure menus are printed or finalised
  • Communicate all relevant information with the operations team
  • Assist management for the functions and events
