The Event Coordinator role at ASM/Pontchartrain Center is a critical position responsible for ensuring the flawless execution of events by serving as the primary liaison between clients and the venue’s operational teams. The coordinator engages directly with clients to understand their specific event needs and coordinates logistics to meet those requirements effectively. This position demands excellent organizational, communication, and interpersonal skills, as the Event Coordinator must manage multiple projects and stakeholders, ensuring that events run smoothly from start to finish. Duties include preparing detailed event coordination sheets and computer-drawn floor plans compliant with life safety and fire code regulations, working closely with fire marshals for approval. The Event Coordinator also oversees event set-ups, supervises guest services and security personnel during events, and acts as Manager on Duty (MOD) when assigned. Working extended hours, including nights, weekends, and holidays, is expected to accommodate event schedules.

Candidates for this role should possess a bachelor’s degree in Business, Public Administration, Recreation Administration, or a related field, coupled with at least two years of industry experience; however, relevant experience may substitute degree requirements. This job requires physical stamina to stand or walk for prolonged periods and the ability to work efficiently under pressure with minimal supervision. Job Requirements

  • Ability to work extended, irregular hours including nights, weekends, and holidays
  • Physical capability to maneuver around event facility
  • Knowledge of fire codes and safety procedures
  • Ability to work under pressure and meet deadlines
  • Experience with supervisory duties
  • Proficient use of Microsoft Office software

Job Duties

  • Discuss and confirm with the client regarding all aspects of a contracted event
  • Produce event coordination sheets detailing event requirements no later than three weeks prior to the event
  • Create computer drawn floor plans complying with safety and fire codes and obtain fire marshal approval
  • Guide clients by interpreting contract provisions, policies, and procedures
  • Monitor in-house events maintaining contact with clients and staff to ensure success
  • Follow-up on client requests, concerns, and problems
  • Supervise and approve event set-ups working with clients to make necessary changes
  • Provide detailed event recaps to ensure accurate invoicing and documentation
  • Assist in training and scheduling guest services and security personnel
  • Perform administrative duties including distributing event coordination sheets and recaps
  • Prepare incident and accident reports as Manager on Duty
  • Oversee and manage Pontchartrain Center guest services and security personnel
  • Work extended and irregular hours including nights, weekends, and holidays
  • Act as Manager on Duty for scheduled events
  • Perform other assigned duties as required
