The Event Operations Specialist role at SPIEC is a vital position that ensures seamless operational execution of all event activities and aligns closely with Sharp HealthCare's vision of delivering an exceptional client and guest experience, known as The Sharp Experience. This per diem, variable-hour position offers flexible working hours accommodating the dynamic needs of an event-based environment, with shift start and end times varying and weekend work required as needed. The hourly pay range for this role spans from $37.58 to $54.30, reflecting consideration of the candidate's experience, skills, education, and alignment with similar positions internally.

In this role, the Event Operations Specialist collaborates directly with the SPIEC Manager to coordinate event day operations meticulously, with a focus on exceeding client expectations and delivering flawless experiences. The position demands a high level of organizational skill and interpersonal communication to coordinate across multiple departments including catering, audiovisual, security, and facilities. The specialist serves as the primary point of contact for SPIEC clients and vendors, ensuring smooth transitions and attentive management of event details from scheduling through conclusion.

The Event Operations Specialist plays a critical role in driving continuous process improvement within SPIEC, developing standard operating procedures, and incorporating industry best practices to maintain zero-defect standards in event delivery. Responsibilities extend to training and onboarding new event staff, managing volunteers, and contributing to strategic meetings that foster operational excellence and innovation. The role also involves proactive problem-solving and real-time client service recovery during events, ensuring every occasion reflects the highest standards of Sharp HealthCare's brand and service ethos.

Ideal candidates possess a bachelor’s degree in hospitality management, marketing, communications, public relations, or a related field, coupled with extensive experience in marketing, event planning, and communication within corporate, agency, or healthcare environments. Familiarity with event management software like Event Guru enhances efficiency and effectiveness in the role. Certification in event management is preferred, underscoring a commitment to professional standards and continuous learning.

Job Requirements

  • Bachelor's degree in hospitality management, marketing, communications, public relations, or related field
  • Three years of experience in marketing, event planning, and communications in corporate, agency, or healthcare settings
  • Two years of experience using Event Guru or similar event management software
  • Ability to work variable shifts including nights and weekends as needed
  • Strong communication and interpersonal skills
  • Proficiency in Microsoft Office including Word, PowerPoint, Excel, Outlook, and Publisher

Job Qualifications

Job Duties

  • Coordinate all event day operations to exceed client expectations and deliver the optimal Sharp Experience
  • Ensure events are delivered with zero defects as frequently as possible
  • Develop and maintain positive perceptions of the SPIEC through exceptional event experiences
  • Collaborate across departments including catering, audiovisual, security, and facilities for cohesive event execution
  • Serve as primary point of contact for SPIEC clients and vendors during scheduled events
  • Develop operating guidelines, standard protocols, and procedures for SPIEC events
  • Onboard and train new event staff on operations and procedures
  • Deliver client-focused event experiences by understanding event goals and improving experiences
  • Monitor and coordinate client specifications with stakeholders to ensure proper event execution
  • Recruit, train, and manage volunteers during events
  • Supervise event room setup, breakdown, inventory, and supply management
  • Evaluate and recommend improvements to SPIEC operational procedures and services
  • Conduct facility tours and promotional events to generate future leads
  • Manage and resolve client concerns promptly during events
  • Coordinate meetings to improve SPIEC operations and attend executive level meetings as needed
  • Document post event learnings and incorporate them into standard work documents
  • Complete special assignments supporting The Sharp Experience
