The Events Coordinator will be responsible for managing all aspects of event logistics, including venue selection, catering, audiovisual arrangements, seating, materials, and signage. This role requires meticulous planning and execution to ensure every event runs smoothly, stays within budget, and reflects the caa brand perfectly. The coordinator is also tasked with building and maintaining strong relationships with sponsors, vendors, and venue staff to ensure seamless event operations. Managing sponsor deliverables such as RSVPs, engagement tables, banners, and signage is a key responsibility, as each event typically involves 10 to 20 sponsors.

In addition to logistics and vendor management, the Events Coordinator will collaborate closely with Sales and Digital Marketing teams to drive attendance through diverse channels like phone outreach, Eventbrite, newsletters, and social media promotion. This role demands proficiency in RSVP tracking, guest list management, and supporting promotional campaigns, particularly on LinkedIn and email platforms.

Internal coordination is another vital component of the role, requiring the coordinator to work alongside Editorial teams to prepare panels and speakers, attend prep meetings, and manage timelines and lead-up meetings effectively. On event days, the coordinator will be the on-site leader, overseeing registration, materials distribution, real-time troubleshooting, sponsor visibility, and ensuring the event flows without interruption. This position is ideal for someone who is highly organized, proactive, detail-oriented, and able to maintain composure under pressure. The opportunity features competitive compensation between $55,000 and $65,000 annually, commensurate with experience and qualifications.

Candidates must have prior full-time event ownership experience, a bachelor’s degree or equivalent (preferably in Marketing or Communications), and be comfortable traveling frequently throughout the year with valid travel authorization. Job Duties

  • Plan and execute all event logistics including venue, catering, AV, seating, materials, and signage
  • build and own the run-of-show, floor plans, and contingency plans for every event
  • coordinate shipping, receiving, setup, and breakdown of all caa materials
  • ensure every event is buttoned up, on budget, and on brand
  • build and maintain strong relationships with venues, AV teams, caterers, hotels, and local staff
  • ensure all sponsor deliverables are fulfilled such as RSVPs, engagement tables, banners, and signage
  • prepare all guest name tags, table prints, registration materials, and signage
  • track and manage event budgets with a cost-conscious eye
  • partner with Sales and Digital Marketing to drive attendance through phone calls, Eventbrite, newsletters, and creative efforts
  • own RSVP tracking and invite list management
  • support promotional efforts across LinkedIn, Eventbrite, and email campaigns
  • work with Editorial to coordinate panel prep and speaker sessions
  • attend speaker prep meetings and align on logistics
  • own internal timelines and keep lead-up meetings running on schedule
  • run the registration desk and oversee material distribution on site
  • troubleshoot in real time as needed
  • support speakers, maintain sponsor visibility, and keep the room running smoothly
  • ship all caa materials to and from the venue ensuring timely delivery
