The candidate will be the backbone of departmental reporting, ensuring key metrics and process adherence are consistently monitored and maintained. Essential duties involve day-to-day communication support via phone and email, maintaining comprehensive and up-to-date documentation on program planning, including speaker travel, venue information, and interactions with key stakeholders such as speakers, sales representatives, and vendors. The individual will manage various inboxes linked to customer needs and run daily reports to prioritize and manage workload effectively. A strong understanding of the regulations that govern this sector is essential to maintain compliance and uphold the company's standards. The role requires excellent interpersonal skills, exceptional organizational abilities, and a keen eye for detail to support the organized execution of events meeting client and corporate requirements. Candidates will benefit from prior experience in speaker bureaus, customer service, call centers, or telemarketing, although it is not mandatory. Proficiency with MS Office applications and Gmail Suite Workspace is necessary to navigate daily tasks efficiently. A high school diploma or GED is required, with a college degree preferred, ideally from backgrounds related to customer service, hospitality, pharmaceuticals, or the medical industry. Job Duties

  • Coordination of full program event planning and management
  • Venue sourcing, negotiating fees, venue payment and planning approved menus
  • Enter travel and AV details into 3rd party websites
  • Responsible for department reporting on key metrics and adherence to processes and procedures
  • Daily phone and email support up to and including communication with sales representatives and faculty
  • Maintain and modify the program planning database by documenting specific program notes as it relates to program changes, speaker travel, venue details and any conversations with speakers, sales representatives, and vendors
  • Manage appropriate inboxes as they relate to customer requirements
  • Run reports daily to manage workload and tasks
  • Maintain current knowledge of appropriate regulations, e.g., OIG, PhRMA Code
