The role of Facilities Management Specialist at BCTC is a pivotal position within the Finance and Operations department, based at the Leestown Campus in Lexington. This part-time role involves a wide variety of responsibilities centered around the management and coordination of all internal and external meetings and events occurring across campus facilities. The ideal candidate will earn $21.48 per hour and work on-site with flexible hours that vary depending on event needs. As an Event Coordinator, the Facilities Management Specialist plays an essential role in maintaining the smooth operation of campus events. The responsibilities include planning, implementing, and overseeing the setup of events while ensuring strict adherence to KCTCS and BCTC business and facilities policies and procedures. This involves coordinating with various departments and external groups to ensure facilities are properly reserved and prepared for use, managing an inventory of event furniture and decorations such as pipe and drape, tables, tablecloths, and place settings, and developing necessary agreements including Memorandums of Agreement (MOAs) to formalize the use of college facilities by outside parties.
The position requires administrative acumen to manage the college's room scheduling software Archibus efficiently. The specialist acts as a reservation manager who troubleshoots and resolves any issues arising with room bookings, and provides training and assistance to faculty and staff on the use of the system for scheduling purposes. They serve on event planning committees to contribute expertise and coordination skills, ensuring every event is executed flawlessly to meet the college's standards.
Holding a Bachelor’s degree in a related field with at least two years of relevant experience or the equivalent combination of education and experience is required for this role. Preferred candidates will have four years of related experience alongside their degree. Job Duties
- Coordinate campus activities and participate in operations duties as assigned for the Lexington campus on a day-to-day basis
- serve as a point of contact for all internal meetings and assist in the planning and implementation of the events
- monitor meeting and event reservations to make sure all necessary Facilities and Operations work orders have been placed and scheduled, and all set-ups have been performed
- review campus activities and participate in operations duties as assigned for the Lexington campus on a day-to-day basis
- manage an inventory of furniture and decorations to be used at events and special functions (pipe and drape, event tables, tablecloths, place settings, etc.)
- coordinate facilities rentals for internal and external groups including Memorandums of Agreement (MOAs), confirmation of insurance and room preparations
- ensure compliance with policies and procedures related to Regional Campus facilities rentals to external groups
- serve as a reservation manager for the colleges room scheduling software Archibus
- work with reservation requestors to resolve any issues that may arise
- offer training and assistance with reservations to college faculty and staff
- other duties as assigned
