The role of Events Coordinator at Food For The Poor is a dynamic and integral position within the Special Events and Fundraising department. This role entails the comprehensive planning, coordination, and execution of a variety of fundraising and engagement events designed to advance the organization’s mission and meet financial goals. Reporting directly to the Director of Special Events, the Events Coordinator is responsible for ensuring that assigned events operate smoothly from inception through to completion while achieving defined revenue targets and aligning with the organization's core values.

Typical events managed by the coordinator include walks and runs, elegant evening fundraisers, cocktail receptions, third-party fundraisers, and internal engagement events. The role demands exceptional organizational skills, vendor management, marketing and promotional activities, donor engagement, and detailed post-event analysis and reporting. The coordinator supports all phases of event management including logistics planning, budget tracking, partnership outreach, and volunteer coordination. This position requires strong communication and interpersonal skills to foster positive relationships with donors, sponsors, vendors, and internal teams. The Events Coordinator also plays a vital role in expanding the organization's visibility through event promotion and collaboration with fundraising partners.

Working in this role involves a balance of creativity, strategic thinking, and practical execution under pressure, often including work during evenings, weekends, and travel to event locations. The position requires proficiency in Microsoft Office, familiarity with social media and online fundraising tools, and the ability to navigate fast-paced environments effectively. Overall, the Events Coordinator contributes to the critical fundraising efforts that enable Food For The Poor to continue providing vital services to those in need.

Job Requirements

  • Associate degree or equivalent education
  • Minimum of two years experience in event coordination or related field
  • Strong organizational skills
  • Excellent communication skills
  • Proficiency in Microsoft Office
  • Ability to work flexible hours including evenings and weekends
  • Valid driver’s license with appropriate insurance
  • Ability to travel locally and out of area
  • Experience with event budget management
  • Knowledge of fundraising events and donor engagement
  • Ability to manage multiple tasks simultaneously
  • Strong interpersonal skills

Job Qualifications

  • Associate degree or completion of two years of college in a relevant field
  • Minimum of two years of experience in fundraising, marketing, sales, public relations, or event coordination
  • Experience supporting or executing a wide range of fundraising and engagement events
  • Preferably nonprofit or major gifts event experience
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Detail-oriented and able to manage multiple priorities
  • Strong interpersonal and donor interaction skills
  • Proficiency in Microsoft Office applications
  • Knowledge of internet, social media, and online fundraising tools
  • Understanding of special event fundraising including auctions and peer-to-peer fundraising
  • Ability to work under pressure and remain calm
  • Flexibility to work evenings, weekends, and travel
  • Valid driver’s license with insurance and good driving record

Job Duties

  • Coordinate and execute fundraising and engagement events
  • Meet defined fundraising and revenue goals
  • Assist with event promotional materials and correspondence
  • Promote the organization and its mission through events and outreach
  • Develop and manage vendor relationships and contracts
  • Monitor event budgets and expenses
  • Co-facilitate event planning meetings including preparing agendas and minutes
  • Coordinate activities that expand donor and participant involvement
  • Track and report fundraising progress and budget performance
  • Attend meetings and participate in organization-wide event planning
  • Travel to event locations as required
  • Perform additional duties to support special events and fundraising
