Responsibilities include managing bookings, finalizing event details, preparing event documentation, and maintaining comprehensive records through catering software. The Events Assistant must demonstrate superb planning abilities, excellent communication skills, and a keen attention to detail. Additionally, the role requires flexibility to work irregular hours, including weekends and holidays, as well as physical stamina for event setup and coordination tasks. - Associate's degree or extensive experience and knowledge in food and beverage
- proficient in using Microsoft Word, Excel, Outlook, and InDesign
- organized and self-directed individual who is business savvy and a team player
- ability to handle confidential information in a private and professional manner
- excellent communication and listening skills
- ability to manage multiple priorities and meet specific timelines
- ability to exercise independent judgment in business situations
- creative with a keen eye for detail
- required to work irregular and extended hours including weekends and holidays

Job Duties
- Assist Events Director in arranging and planning banquets, luncheons, meetings, weddings and other social events in conjunction with culinary personnel
- obtain and produce pertinent information needed for guest planning
- provide tours and offer suggestions to sell club’s facilities
- perform general office tasks including word processing, preparation of presentations, spreadsheets and analysis
- respond to inquiries and take reservations for member functions
- confirm reservation counts prior to events and communicate to appropriate departments
- facilitate billing for all private and Club functions
- distribute weekly Banquet Event Orders, floor diagrams, supplements, and calendar of events to each department
- maintain member event files through catering software programs
- create printed materials for events including menus, place cards and seating signage
- schedule appointments, answer telephone, and act as receptionist when necessary
- assist in arranging decorations, entertainment, and other event rental needs
