We are currently seeking an enthusiastic and detail-oriented Event Coordinator to join our dynamic team. This pivotal role supports the sales department by managing key administrative functions that are essential to the smooth running of the event planning process. Acting as the liaison between guests, the sales team, and operations, the Event Coordinator plays an integral role in finalizing event details and ensuring client satisfaction from the initial inquiry through to event execution. This full-time position offers an hourly salary ranging from $19.22 to $25, reflecting our commitment to attracting skilled and motivated individuals passionate about event coordination.
The ideal candidate for the Event Coordinator role possesses a friendly personality and a proactive "You Got It" attitude. You will be adept at making sound decisions, communicating effectively across diverse teams and with clients, and adept at managing multiple administrative tasks with precision and professionalism. Strong verbal communication and organizational skills are paramount, along with the ability to analyze basic data to support sales and operational decision-making. Fluent English communication, both spoken and written, is required.
In your capacity as an Event Coordinator, you will assist in converting event inquiries into booked social engagements by handling requests for proposals (RFPs), following up with clients, coordinating site tours, and updating contracts to match client requirements. Administrative responsibilities also include processing paperwork for special events, managing accounts receivable follow-ups, submitting invoices, and keeping the operations team informed with the latest banquet event orders (BEOs).
This role demands a flexible, team-oriented individual who thrives in a fast-paced environment and is willing to jump in and tackle "other duties as assigned." Whether it’s identifying and addressing unanticipated needs or offering innovative solutions to improve event delivery, your contributions will support the team’s goal of exceeding guest expectations and enhancing overall venue performance.

Job Duties
- Go above and beyond to ensure the needs of each special events guest are met, communicating all requests from host to ensure all contracts are updated accordingly
- Take RFPs and calls for social events, converting them to closed "won" business
- Conduct site tours as needed
- Ensure accurate and prompt distribution of all paperwork for "pop up parties" working through management team to ensure they are staffed to support
- Provide administrative support to the sales department including follow up on calls/emails/tasks with event host after the sale is "closed won", communicating to operations any changes to BEOs or updated signed contracts
- Follow up on AR's, collect payment information, and close out any remaining balances
- Submit check requests/invoices as needed
- Ensure operations has the most up-to-date BEO for each event
- Offer "upsell" opportunities to event hosts after sale is "closed won"
- Perform other duties as assigned
