Job Description

The East Orlando Chamber of Commerce is a prominent business organization located in Orlando, Florida. As a hub for local businesses, the Chamber is dedicated to fostering a vibrant business community through networking, advocacy, and educational programs. It serves as a vital resource for businesses to connect, grow, and thrive in the East Orlando region. The Chamber is known for hosting a variety of events that bring together professionals, companies, and community leaders to collaborate and support economic development.

The Chamber is currently seeking a strategic and energetic Event Coordinator to join its team on a full-time basis. Reporting to the President & CEO and the Director of Operations, this position plays a crucial role in the planning and execution of the Chamber's signature events and programs. The Event Coordinator will be responsible for managing all aspects of event planning, from initial venue selection and request for proposal (RFP) management to leading committees and overseeing on-site execution. This role requires a dynamic professional who can handle both the logistical details and the interpersonal aspects of event coordination.

The ideal candidate will be adept at blending hands-on event logistics with the ability to lead volunteers and engage sponsors effectively. Responsibilities include developing a comprehensive event calendar that features networking programs, luncheons, and major events that align with the Chamber's goals. The Event Coordinator will secure high-quality speakers and panelists to enhance the value of these events. They will also manage detailed logistics, ensuring that every element from venue contracts and audiovisual needs to catering and event layouts is meticulously handled.

Beyond logistics, the Event Coordinator will lead volunteer committees, defining clear roles and fostering an environment of inclusivity that encourages member participation. This leadership is essential in creating successful events that resonate with the Chamber's diverse membership. Additionally, the coordinator will oversee the sponsorship experience, ensuring that all sponsor benefits such as signage and recognition are flawlessly executed to maintain strong partnerships.

Partnership with the Marketing Director will be a key part of the role, ensuring timely and effective communication about upcoming events through social media and newsletters. Financial management is also critical, as the Event Coordinator will be responsible for managing event budgets, tracking expenses, and reporting on post-event metrics.

This position is based in Orlando and offers a salary range of $45,000 to $48,000. It includes benefits such as three weeks of paid time off, seven paid holidays, a Simple IRA with a 3 percent match after the first year, comprehensive dental and vision plans, 24-hour telehealth services, critical illness and accident plans, a $50,000 life insurance policy, mileage reimbursement, and compensatory time for extended-hour events. The role occasionally requires working early mornings or evenings to support signature events, as well as physical tasks such as setup and teardown involving lifting up to 50 pounds.

Job Requirements

Job Duties

  • Plan a comprehensive calendar of networking programs, luncheons, and signature events
  • Secure top-tier speakers and panelists aligning with Chamber goals
  • Manage the run-of-show and confirm all logistical details in advance
  • Lead the RFP process including soliciting, reviewing, and evaluating bids for venues and vendors
  • Negotiate contracts and manage event layouts, AV needs, and catering
  • Facilitate event-related committees and track action items
  • Recruit and empower volunteers by defining clear roles and responsibilities
  • Ensure flawless execution of sponsor benefits including signage, recognition, and placement
  • Partner with the Marketing Director for social media and newsletter updates
  • Manage event budgets, track expenses, and report on post-event metrics
  • Serve as on-site lead during events including setup, teardown, and lifting up to 50 pounds
