Job Description

The Los Gatos Chamber of Commerce is a well-established nonprofit organization consisting of 380 business and nonprofit members dedicated to fostering business vitality and enriching the community in the Town of Los Gatos. Serving as the town's catalyst for growth and economic strength, the Chamber strategically advances a robust local economy and elevates Los Gatos as a premier destination through innovative initiatives and signature events. The Chamber also operates Visit Los Gatos along with the Visitor & Information Center, aimed at attracting visitors, driving local commerce, and highlighting the unique characteristics that make Los Gatos exceptional. This organization provides its members with tangible value, including credible promotion, practical tools, and strategic connections that are underpinned by focused advocacy on key business issues and destination marketing efforts that stimulate foot traffic downtown and inside local businesses. The Events Coordinator role at the Los Gatos Chamber of Commerce is a dynamic, part-time position averaging 25 hours per week with compensation ranging from $30 to $32 per hour. Reporting directly to the CEO, this role requires an energetic, detail-oriented, and creative professional to lead both the planning and execution of the Chamber’s major signature events such as Taste of Los Gatos, Wine Walk, Magical Memories Holiday, and the Annual Chamber Celebration. In addition, the coordinator also manages smaller but equally significant events including holiday strolls and staff retreats. The workload fluctuates with periods of higher intensity during event prep and execution, demanding flexibility and resilience. The Events Coordinator will work closely with the Operations & Membership Coordinator and the Multimedia Designer to ensure the seamless delivery of the Chamber’s full scope of activities. Success in this role hinges on a proactive approach, exceptional organizational skills, and the ability to remain composed in a fast-paced, ever-evolving environment where priorities can change rapidly. All Chamber staff embody professionalism, self-direction, positivity, and a strong commitment to community engagement, aiming to create exceptional experiences for members, visitors, and partners that truly reflect the unique spirit of Los Gatos.

Job Requirements

  • Valid California driver’s license
  • Lift up to 25 lbs
  • Remote work on Monday
  • Hybrid schedule Tuesday through Friday
  • Availability for 4 plus member events per month including some evenings or early mornings
  • Additional availability for evening and weekend major events
  • Submission of cover letter and resume via email to the hiring committee preferred

Job Qualifications

  • 3 plus years of experience in large-scale event planning with 200 plus attendees
  • Marketing experience in digital and traditional media
  • Associate or bachelor's degree in marketing, communications, business, or related field
  • Exceptional organizational abilities
  • clear and effective communication skills both written and verbal
  • Proficient in MS Office, Google Suite, Eventbrite, Constant Contact, and Canva
  • Familiarity with ChamberMaster, Adobe Creative Suite, and AI tools as a plus
  • Knowledge of Los Gatos and local culture

Job Duties

  • Lead production of signature annual events including Taste of Los Gatos, Wine Walk, Magical Memories Holiday, and the Annual Chamber Celebration
  • Manage select minor Chamber events such as holiday strolls
  • Collaborate with Operations and Marketing Coordinator on planning and execution of minor events like Halloween PAWlooza and GOLD First Thursdays
  • Plan and produce internal gatherings such as the Board & Staff Holiday Cocktail Party and Annual Retreat
  • Manage logistics including budgets, vendor contracts, permits, volunteer coordination, signage, and post-event debriefs
  • Oversee Bandwango Perks Pass event passports, integrating local offers and tracking engagement
  • Partner with CEO on executing sponsor activations
  • Manage online registration and ticketing platforms such as Eventbrite
  • Manage online volunteer systems like Sign-up Genius
  • Collaborate to order event-related office supplies and procure event materials
  • Provide on-site leadership from setup through teardown
  • Collect and analyze event data to inform and improve strategies
  • Develop marketing plans for major events and provide event copy for newsletters
  • Support production of event signage, sponsor recognition, collateral, and branded merchandise
  • Support member engagement including attending networking events and ribbon-cuttings
  • Serve as staff liaison to the Board Events Committee
  • Attend or monitor Town meetings relevant to Chamber events or policy
