The Event Coordinator role is an essential part of our marketing and engagement efforts, designed to plan, execute, and manage a variety of company events such as trade shows, conferences, webinars, customer appreciation gatherings, and internal programs. This full-time, onsite position operates primarily Monday through Friday, from 8 a.m. to 5 p.m. EST, and may require up to 50 percent travel for attending and managing local and domestic trade shows and events. The successful candidate will be responsible for creating engaging, memorable experiences that effectively showcase our IT, cloud, and A/V solutions to public sector decision-makers, helping to generate qualified leads while reinforcing strong client relationships. This role demands a combination of strategic event management, detailed logistical coordination, and creative collaboration with sales and technical teams. The Event Coordinator will oversee budgets, vendor relations, event marketing materials, lead capture systems, and performance analytics ensuring all events align with company marketing goals and produce measurable ROI. This position is well suited for a highly organized, detail-oriented individual with a background in event planning within the technology sector and a passion for engaging government audiences through innovative events and presentations.

Job Requirements

  • high school diploma
  • 3+ years of experience in event planning, preferably in technology sector
  • ability to travel up to 50 percent locally and domestically
  • strong project management and organizational skills
  • excellent communication and interpersonal abilities
  • proficiency in Microsoft Office Suite
  • willingness to work onsite Monday through Friday, 8 a.m. to 5 p.m. EST
  • ability to lift and carry up to 30 pounds occasionally
  • pass background check and drug screening

Job Qualifications

  • bachelor’s degree in marketing, communications, hospitality management, or related field preferred
  • high school diploma required
  • 3+ years of experience preferred in event planning, preferably in the technology sector
  • proven track record of successfully planning and executing B2G events
  • strong project management skills with attention to detail
  • experience with HubSpot as a CRM and Monday.com project management platform preferred
  • understanding of lead generation principles and metrics
  • excellent interpersonal skills and ability to build relationships with vendors and clients
  • strong problem-solving skills and adaptability in fast-paced environments
  • Microsoft Office Suite experience
  • knowledge of IT, cloud, and A/V industries preferred

Job Duties

  • develop and manage comprehensive event strategies and calendars aligned with marketing goals
  • plan and execute participation and sponsorship of industry tradeshows, company-hosted events, and webinars
  • coordinate all event logistics including venue selection, vendor management, and registration systems
  • manage event budgets, track expenses, and ensure ROI on all event activities
  • collaborate with technical and sales team to develop compelling booth displays and event materials
  • create engaging demos that effectively showcase our IT, cloud, and A/V capabilities with public sector clients
  • coordinate the design and production of all event-related materials and signage
  • ensure brand consistency across all event touchpoints
  • implement effective lead capture systems for all events
  • coordinate technical demonstrations and presentations highlighting our solutions
  • nurture relationships with existing clients through specialized event experiences
  • track and report on key event metrics including attendance, leads generated, and conversion rates
  • analyze event performance and recommend improvements for future programs
  • conduct post-event evaluations with attendees and internal stakeholders
  • coordinate internal meetings, events, and activities
