The Event Coordinator role within ASM Global is a critical position for ensuring smooth and successful event execution at these facilities. Reporting directly to the Event Services Manager, this salaried, exempt role is designed for a dedicated and resourceful individual who can plan, organize, and oversee multiple events within the facilities. The coordinator will take charge of event logistics from the initial planning phases through to the final wrap-up, including staffing, vendor coordination, safety compliance, and client communication.

In this role, the Event Coordinator will be responsible for developing and maintaining event documentation such as work orders and cost estimates, ensuring that all aspects of each event meet the facility's standards and client expectations. Effective communication is essential, as coordinators lead pre-convention meetings with clients and collaborate closely with internal departments such as staffing, food and beverage services, and external vendors. They also play a vital role in coordinating special requests, emergency protocols, and ensuring venue readiness.

Candidates must be highly motivated, with excellent organizational and communication skills. Experience working in facility management or event coordination is preferred, along with proficiency in Microsoft Office applications. The role involves working non-traditional hours, including nights, weekends, and holidays, to accommodate the event schedule.

Job Requirements

  • Must successfully pass a criminal background check
  • able to work nights, weekends, and holidays as needed
  • must possess a valid Louisiana driver's license at the time of appointment and throughout employment
  • highly motivated and self-directed
  • capable of standing for long hours during events
  • able to move around the facility as needed
  • capable of talking and hearing to communicate effectively

Job Qualifications

  • Bachelor's degree or equivalent work experience
  • 2-3 years of progressive experience in the facility industry
  • experience in facility coordination preferred
  • proficiency in Microsoft Office applications including Outlook, Excel, Word, and PowerPoint
  • superior communication and organizational skills
  • ability to work in a fast-paced environment

Job Duties

  • Plan, organize, and control events within assigned facilities
  • create, distribute, and update event documentation including staffing and cost estimates
  • ensure efficient communication regarding service delivery to clients
  • lead and coordinate pre-convention meetings with clients
  • participate in major event meetings such as pre and post conventions
  • provide special project research and fulfillment as assigned
  • supervise staffing for assigned events
