The role of an Event Coordinator at the Whitewater Center is vital in ensuring that all private group events are flawlessly planned and executed according to the clients' expectations. This full-time, onsite position offers employment with benefits and reports directly to the Events Manager. Event Coordinators serve as the primary point of contact for inbound group inquiries, helping clients choose the perfect combination of activities, venues, and catering to meet their unique needs. From initial communication to post-event follow-up, coordinators handle everything with professionalism and efficiency.
Event Coordinators are responsible for numerous aspects of event management, including answering client questions via email, phone, or in person, generating proposals, planning event logistics, and facilitating smooth event-day experiences. Their role requires a keen understanding of the Whitewater Center's offerings, excellent communication skills, and the ability to work well under pressure and independently. Coordinators also prepare group reservations by managing check-in protocols such as printing wristbands and delivering welcome talks to guests.
Collaboration is key in this role, as Event Coordinators must work closely with multiple departments within the center to ensure seamless and enjoyable events. They cultivate long-term relationships with clients, encouraging repeat bookings and helping to grow the Whitewater Center’s event business. Additionally, offering tours of the center’s facilities and activities to potential and returning clients is part of the coordinator’s responsibilities.
This position demands physical stamina, as coordinators are expected to work outdoors in all weather conditions and must be capable of lifting weights up to 50 pounds. Job Requirements
- Able to work well under pressure and make decisions independently

- must be able to work outdoors for sustained periods in all weather conditions

- must be able to bend, stand, lean, and kneel regularly and for extended periods
- must be able to safely self-transport over uneven terrain or in confined spaces
- work onsite at Whitewater Center locations
Job Qualifications
- Bachelor’s degree in business, hospitality, or related field preferred
- prior experience in customer service, sales, or related areas preferred
- excellent communication skills
- ability to work well under pressure and make decisions independently
- outgoing, friendly, and confident demeanor
- knowledge of event planning and client relationship management advantageous
- adept at multitasking and problem-solving
Job Duties
- Communicate with clients in a polite, clear, and confident manner via email, phone, and face-to-face interaction
- answer questions regarding group outings, activities, venues, and catering, providing guidance to best match products with client needs
- provide detailed reviews of products and services, participation requirements, and event expectations
- prepare for group reservations to ensure smooth and efficient check-in, including printing wristbands and giving welcome talks
- input group inquiry information for lead tracking and follow-up, developing client relationships to encourage repeat bookings
- facilitate tours of the Whitewater Center’s facilities and activities for potential and returning clients
- collaborate with all departments to ensure the best possible experience for each group outing
- maintain accurate knowledge of activities, products, and services offered at the Whitewater Center
