SBM Management is currently searching for a detail-oriented and proactive Event Coordinator to join their team. This pivotal role involves coordinating and managing all activities related to conference room and event setups in alignment with customer requests. The Event Coordinator will serve as a critical link between internal teams, external vendors, and stakeholders to ensure seamless execution of events in a professional and hospitable manner. This position offers a Monday through Friday work schedule, from 8:00 am to 4:30 pm, with a competitive hourly wage ranging from $19.50 to $20.50. The role requires a hospitality mindset and exceptional customer service skills to respond effectively to inquiries and concerns, ensuring high standards are consistently met.
The Event Coordinator's responsibilities include providing high-quality customer service to end-users, vendors, third-party partners, and leadership teams. They must collaborate closely with internal and external parties to fully understand business needs and coordinate event execution accordingly. The position demands strong task management abilities, including proactive planning, objective setting, and timely follow-through. A core duty is to create and maintain event diagrams using in-house software tailored to end-user specifications, ensuring space arrangements meet expectations. Additionally, the coordinator is responsible for conducting routine site inspections to maintain the highest standards of event areas and capturing feedback from employees and guests.
This role also entails inventory management of all supplies and equipment necessary for program operations and assisting in the development of Standard Operating Procedures (SOPs) to optimize event performance. The Event Coordinator must monitor event scheduling to avoid conflicts and manage signage creation throughout the facility as required. By building and nurturing strong relationships with vendor partners, the coordinator helps facilitate smooth event service delivery and adherence to company policies, including safety regulations. Job Requirements
- High school diploma/GED
- 2 years relevant experience
- May be required to have a valid driver's license
- Excellent task management skills including proactive planning, task prioritization, time management, project management, objective and expectation setting
- Advanced understanding and application of event principles, concepts, practices, and industry standards
- Proficient with Microsoft Office applications including Excel and PowerPoint
- Strong written and verbal communication skills
- Maintain a professional, positive, friendly, and courteous demeanor
Job Qualifications
- High school diploma or GED
- Two years of relevant experience in event coordination or related field
- Valid driver's license may be required
- Proficiency in Microsoft Office Suite including Excel and PowerPoint
- Excellent task management and organizational skills
- Strong written and verbal communication abilities
- Demonstrated knowledge of event principles, concepts, and industry standards
- Ability to maintain professional and courteous interactions
- Experience collaborating effectively with vendors and internal teams
Job Duties
- Provide a high quality of customer service to end-users, vendors, third parties and members of leadership
- Collaborate with internal partners, stakeholders, and external partners or third parties to develop an in depth understanding of their business needs and objectives and assist with the coordination and execution of their vision
- Provide and collect pre/post event metrics
- Day-to-day event scheduling verification
- Build close relationships with vendor partners, to maintain smooth operations of event service deliveries and ensure outlined processes and procedures are followed
- Routinely conduct site inspections to ensure area is of the highest standards and capture the perspective of our employees, vendor partners and guests
- Serve as the single point of contact for users in assigned area to resolve inquiries, issues, and concerns
- Coordinate and create diagrams on in-house software according to the end-users request and/or needs
- Update and maintain data as required
- Assist with inventory management of all supplies and equipment needed for program operations
- Assist with development of applicable SOPs
- Create and aid with signage throughout facility as requested
- Work with program manager to identify opportunities to improve performance on a routine basis
- Comply with company safety rules, policies, and procedures
- Other duties as assigned
