Aspiria is a vibrant and dynamic campus environment known for fostering community engagement and providing versatile spaces for a variety of events ranging from meetings and corporate gatherings to social functions. It is managed by Occidental Management, Inc., an established organization recognized for its commitment to excellence in property management and tenant satisfaction. The campus thrives on delivering superior service experiences to its tenants and guests, facilitating events that contribute not only to tenant enjoyment but also to the financial sustainability and growth of the available meeting and event spaces.
The role of Event Coordinator at Aspiria is a key entry-level position designed for individuals seeking to develop their skills in event coordination and hospitality within a supportive and structured environment. Reporting directly to the Event Director, the Event Coordinator plays a crucial hands-on role in ensuring the seamless execution of day-to-day event logistics. This includes responsibilities such as scheduling event spaces, coordinating with vendors, arranging audio-visual setups, and managing guest services. Attention to detail and proactive problem-solving are essential components of this role, as the Event Coordinator must anticipate potential issues and act swiftly to resolve them before they impact the event experience.
This position offers an excellent opportunity for candidates with administrative, customer service, or hospitality backgrounds who are eager to advance their careers by gaining practical experience in event planning and coordination. The role demands strong organizational and time management skills to balance multiple tasks and deadlines within a fast-paced environment. Effective communication abilities are also paramount, as this individual will interact regularly with clients, vendors, tenants, and internal teams to ensure accurate execution of event plans.
Beyond logistical management, the Event Coordinator assists in promotional activities by helping prepare marketing materials such as flyers, social media posts, and newsletters, as well as tracking event attendance and gathering feedback to support continuous improvement. The position requires adaptability to varying schedules, including occasional evenings and weekends, to meet the demands of diverse event timelines.
Working at Aspiria provides an engaging atmosphere where collaboration, service excellence, and attention to detail define daily operations. The Event Coordinator is expected to be a reliable support system for the Event Director, contributing to the overall success and growth of the campus’s event services. This role not only enhances the tenant experience but also plays a part in the financial health of the event spaces, underscoring its importance within the organization.
The physical demands of the job include the ability to stand and move throughout the campus during event setup and teardown, lift items up to 25 pounds, and manage technical and promotional materials with manual dexterity. The work environment is primarily indoors but may occasionally require outdoor activity during certain campus events. The role demands a positive attitude, flexibility, and the ability to maintain composure in a high-energy setting with multiple concurrent events.
