The Event Coordinator will operate primarily from the Carlsbad office and will be responsible for the day-of-event management at local corporate venues, guaranteeing smooth event operations from setup through breakdown. This hands-on role includes managing logistics such as exhibitor invitations, booth placements, vendor coordination, rental agreements, budget oversight, and accurate record-keeping through CRM and Excel spreadsheets. Proficiency in Microsoft Office, particularly Excel, is essential as it supports budget management and event tracking.
This is not a remote position; the Event Coordinator must be comfortable working onsite daily and traveling locally for event management. Physical requirements include the ability to stand for extended periods and lift up to 30 pounds. A valid California Driver's License is necessary due to the travel involved to various event locations. Job Duties
- Establish and maintain close relationships with corporate hosts
- establish and maintain strong relationships with health fair exhibitors
- work directly with HR managers to customize onsite wellness events
- coordinate all logistics for events including exhibitor invitations and booth placement
- organize filling special requested booths
- manage rentals and bids with food vendors and party rental suppliers
- manage event budgets and special requests
- update and maintain corresponding Excel spreadsheets, documents, and CRM records
- communicate with clients, exhibitors, and vendors in a prompt and professional manner
- manage onsite day-of event execution including setup, coordination, and breakdown
- troubleshoot and problem-solve onsite to ensure smooth event operations
