Job Requirements

  • Graduation from an accredited college or university with an associate's degree in related field or equivalent experience
  • Alternatively, high school diploma or equivalent with five years of event planning and oversight experience
  • Valid Class C driver license or alternative transportation availability
  • Ability to work evenings, weekends, and irregular hours
  • Physical ability to perform bending, kneeling, squatting, running, standing, climbing, and lifting moderate weight
  • Proficient with Windows-based computer systems
  • Strong interpersonal skills to work with diverse populations
  • Ability to comply with safety regulations and procedures
  • Must submit college diploma or transcripts with application

Job Qualifications

  • Associate's degree in business or public administration, arts management, theatrical production, recreation administration or related field
  • Three years of experience assisting with or planning and coordinating events
  • Experience with public or private community-oriented assembly facilities desirable
  • Strong communication skills both oral and written
  • Ability to write reports, business correspondence, and financial summaries
  • Strong customer service and conflict resolution skills
  • Skilled in using Word and Excel
  • Ability to read and interpret blueprints and floor plans
  • Knowledge of event scheduling, layout, and cost estimating
  • Ability to work independently and in a team under pressure
  • Experience supervising staff
  • Proven ability in coordinating multi-day, multi-location events

Job Duties

  • Plans and independently coordinates complex events within the division
  • Responds to client and patron inquiries and assists with event goals
  • Conducts tours for prospective clients
  • Books events, reserves facility space, and requests contract preparation
  • Develops and implements marketing and sales strategies to generate leads
  • Prepares proposals, permits, invoices, reports, diagrams, event billing, and cost estimates
  • Communicates event requirements to operations staff including technical, physical setup, parking, insurance, electrical, telephone, and labor needs
  • Serves as liaison among venue, client, patrons, and city departments ensuring compliance
  • Remains accessible during events to resolve problems or complaints
  • Conducts research and makes policy and procedure recommendations
  • Supervises venue services assistants and operations staff
  • Coordinates delivery of equipment to city departments
  • Oversees venue communications including website, event calendar, newsletters, and informational materials
