Job Requirements
- High school diploma or GED required
- 3-5 years of proven experience coordinating community or large-scale public events
- experience managing city permitting processes including TABC and special event permits
- skilled in vendor sourcing, negotiation, and oversight
- experience developing and managing budgets while balancing cost-effectiveness and quality
- ability to manage multiple projects and deadlines in a fast-paced environment
- strong interpersonal skills with demonstrated success in client/tenant communication and internal team collaboration

- prior venue or property management experience preferred
- experience operating or managing audio/visual equipment preferred
- familiarity with Microsoft SharePoint and Office 365 Suite preferred
- experience using ticketing and event platforms such as Eventbrite or Splash preferred
Job Duties
- Plan, organize, and execute community-facing events at both venues
- develop and maintain a robust events calendar including booking live music and stage entertainment
- create detailed logistics plans, production timelines, and run-of-show schedules
- coordinate all event elements including A/V needs, vendor bookings, rentals, permits, and security
- develop and implement contingency and safety plans for weather, emergencies, and crowd control
- provide timely and thorough communication with vendors, tenants, and internal teams
- staff day-of event execution with employees or contract labor
- work with Regional Director of Maintenance to staff facility and grounds support
- provide weekly updates and post-event reports to Director of Marketing and Communications
- maintain and manage individual event and annual budgets
- collaborate with Marketing team to create and execute strategic marketing campaigns
- partner with Director of Marketing on sponsorship development and fulfillment
- support cross-departmental collaboration to ensure event success
- serve as on-site point of contact for event operations
- coordinate vendor load-in/load-out, staging, and troubleshooting
- meet vendors and temporary staff onsite for setup and walkthroughs
- support third-party venue rentals and serve as liaison
- assist grounds staff with trash/litter removal during events
- source, vet, and negotiate with vendors including A/V teams, entertainers, caterers, rental companies, and security
- ensure vendors adhere to deliverables, timelines, and safety standards
- maintain updated event equipment and supplies inventory
- coordinate procurement, upkeep, and storage of materials
- serve as resource for tenants regarding event logistics and participation
- communicate event details in advance to tenants and encourage involvement
- foster positive relationships through responsive communication and exceptional service
