Job Description

Located in Tallahassee, Florida, the Florida Association of Court Clerks & Comptrollers (FACC) is a respected statewide, non-profit member association dedicated to supporting the Florida Clerks of the Circuit Court and Comptrollers. Established to provide advocacy, education, and resources, the association plays a critical role in enhancing the efficiency and effectiveness of these constitutional officers who perform vital functions across the state. FACC serves its members through legislative action, policy development, and public awareness initiatives that emphasize the importance of the clerk and comptroller offices.

FACC Services Group, LLC, operating as Civitek Solutions, is a wholly owned subsidiary of the Florida Association of Court Clerks, Inc. (FCCC) that has been serving the clerks and comptrollers of Florida since 1991. Civitek Solutions offers innovative financial and technical services designed to streamline operations and improve resource management for these constitutional offices. With a strong focus on technology-driven solutions, Civitek continues to contribute significantly to the operational success and financial stewardship of Florida’s courts.

The Event Assistant role reports directly to the Deputy Director of Event Operations and works collaboratively with the Events and Exhibit Specialist to ensure the flawless planning and execution of numerous member-centered events and training sessions. This role is crucial in supporting the association’s mission by facilitating events that educate elected officials and staff, enhance legislative advocacy, and increase public understanding of the functions and services provided by the Florida Clerks and Comptrollers.

The Event Assistant is responsible for various event logistics, including hotel coordination for more than 40 annual events, managing rooming lists, and collaborating with the Hotel Housing Coordinator to ensure attendee satisfaction. This position involves close monitoring of communication channels to respond promptly and professionally to inquiries, assisting with smaller event support, handling event-related errands, and managing billings and invoices within the Events Department. Additionally, the Event Assistant is tasked with maintaining all FCCC calendars, attending departmental and committee meetings, and taking meeting minutes.

Ideal candidates possess an associate’s degree and at least two years of experience in event or meeting planning, with a preference for those who have hospitality industry experience. The role demands strong interpersonal abilities to effectively interact with elected officials, attorneys, and legislators, along with excellent organizational skills to manage multiple priorities and strict deadlines in a fast-paced environment. Job Duties

  • Assist with hotel logistics and planning for over 40 events annually
  • Assist with hotel accommodations including managing rooming lists and coordinating with Hotel Housing Coordinator
  • Monitor and respond to two event-related email inboxes in a timely and professional manner
  • Assist the Events and Exhibit Specialist with logistics for smaller events
  • Complete special projects assigned by management
  • Attend departmental and committee meetings and write meeting minutes
  • Run errands related to event needs including picking up food for trainings
  • Assist the Events Department with bills and invoices
  • Maintain all FCCC calendars
  • Perform additional duties as assigned
