The Event Assistant position at Kehoe Designs is a full-time onsite role based in Chicago. This role is crucial in supporting Event and Senior Event Producers by coordinating all necessary details to ensure the flawless execution of events. Responsibilities include managing sales contract particulars, converting creative designs into actionable production requirements, coordinating with multiple internal departments, and assisting clients throughout the event process. Reporting to the Client Services Manager, this role demands exceptional organizational skills, multitasking abilities, and strong customer service focus to deliver smooth event workflows. The Event Assistant also handles on-site event support about twice monthly, oversees venue walkthroughs, facilitates communication between teams, and plays a role in maintaining operational efficiency. Job Requirements

  • Associates or Bachelor’s degree preferred
  • 1-3 years of event production experience (creative or décor-focused)
  • proficiency in Microsoft Word and Excel
  • strong project management skills
  • excellent interpersonal and customer service skills
  • ability to work onsite in Chicago, IL
  • availability for flexible scheduling including evenings and weekends
  • ability to support on-site event execution twice monthly
  • capability to travel to client and venue locations as needed
  • tolerance for moderate noise levels and physical activity involving moving around venues

Job Qualifications

Job Duties

  • Assist Event Producers in translating designs into production requirements
  • coordinate production elements, samples, inventory, and rentals
  • communicate key timelines and event details to internal teams
  • create pull sheets and ensure correct data entry
  • support client communications and ensure satisfaction
  • assist with on-site event execution and venue walkthroughs
  • help streamline operations and maintain accurate records
