Job Requirements

  • 5 to 10 years of experience in a corporate travel, event coordination, project management, or related role
  • experience with Hubspot, Salesforce, travel platforms and other systems related to execution preferred
  • high school diploma required
  • higher education preferred
  • ability to handle price and contract negotiations as well as measure and manage supplier performance
  • ability to understand and utilize necessary technology to support event strategy and travel arrangements
  • demonstrate critical thinking and sound judgment in making decisions
  • ability to analyze situations, make informed decisions, and adapt to changing circumstances
  • strong organizational skills able to prioritize tasks, manage a large number of projects and complete them in a timely fashion
  • excellent verbal and written communication skills
  • strong proficiency in MS Office, particularly PowerPoint and Excel
  • ability to work independently and in a team environment with a variety of professionals with minimal supervision
  • demonstrate professional image, maturity, self-confidence, and a positive attitude

Job Duties

  • Collaborate with firm departments to ensure successful execution of corporate internal events such as executive retreats and leadership meetings
  • assist HR training team with sourcing venues and other various support
  • collaborate with the go-to-market and sales teams to plan and execute participation at industry tradeshows as well as regional client-facing corporate-hosted events
  • handle logistics such as event venue selection, catering, audiovisual set up
  • manage event budgets and track expenses
  • collaborate with marketing team and local marketing conduits to brainstorm themes, create invitations and promotional communications, develop registration pages
  • act as a liaison between vendors, caterers, and staff prior to and during events
  • coordinate group travel arrangements for conferences, meetings, and corporate events including flights, accommodations, ground transportation, and itineraries
  • negotiate contracts with travel service providers such as airlines, hotels, car rental companies to secure the best rates and amenities
  • assist with travel-related emergencies or changes to minimize disruption related to corporate hosted events
  • ensure compliance with company travel policies
  • monitor and analyze travel trends and costs
  • advise travelers and assist with specialized travel documents such as visas or passports
  • coordinate with HR to review and update travel policies
