Job Requirements

  • ability to work flexible hours, including evenings and weekends
  • valid driver’s license
  • ability to lift up to 40 lbs
  • in-state applicants only
  • must be available to interview immediately

Job Qualifications

  • experience in event coordination, hospitality, or a related field
  • strong organizational and project management skills with the ability to manage multiple priorities
  • hands-on, adaptable, and comfortable in a fast-paced, team-oriented environment
  • excellent judgment, discretion, and written communication skills
  • experience with Asana, HubSpot, and Airtable preferred
  • familiarity with Hawaii’s cultural landscape is a plus

Job Duties

  • assist with planning and executing events and convenings
  • develop event timelines, run-of-show documents, guest communications, and logistical plans
  • coordinate event logistics including room setup, rentals, catering, audiovisual needs, transportation, staffing, and vendors
  • manage on-site event operations and respond to changes professionally and efficiently
  • collaborate with internal teams and external partners to support program goals
  • manage guest lists, invitations, RSVPs, and reporting using CRM and project management tools
  • collect post-event feedback and support continuous improvement efforts
  • assist with special projects as assigned
