The Events & Marketing Coordinator plays a critical role within our team, serving as the primary point of contact for a variety of in-person events and broader marketing efforts. This role involves managing end-to-end event planning and execution, including coordinating venues, vendors, catering, registration, materials, signage, and ensuring flawless on-site execution. The coordinator is responsible for developing comprehensive event timelines, run-of-show documents, and post-event recaps to assess success and identify continuous improvement opportunities. Collaboration with brokers, leadership, and subject matter experts is essential to ensure events align with company goals and messaging.

Beyond event management, the role supports sponsorship and conference activities by coordinating deliverables such as logos, ads, booth materials, and attendee lists. Managing booth logistics and ensuring consistent brand representation across all event touchpoints are also key responsibilities. The coordinator provides cross-functional marketing support by assisting with RFP reviews, coordinating design requests with creative teams, supporting presentation development, and helping maintain marketing collateral inventory.

This position requires a detail-oriented, organized, and proactive individual capable of managing multiple projects and deadlines simultaneously. The ideal candidate thrives under pressure, particularly during live events, and is committed to delivering polished, professional experiences that enhance our brand's reputation. Job Requirements

  • Bachelor's degree in marketing, communications, event management, or a related field
  • Minimum 2 years of experience in event coordination or marketing
  • Proven ability to plan and execute in-person events efficiently
  • Strong organizational and multitasking abilities
  • Excellent communication and interpersonal skills
  • Proficiency in Microsoft Office Suite, particularly PowerPoint and Excel
  • Ability to work under pressure and meet deadlines
  • Willingness to travel locally and provide on-site event support

Job Qualifications

  • 2-4+ years of experience in event coordination, marketing, or a related role
  • Experience managing logistics for in-person events (corporate or B2B preferred)
  • Strong organizational skills with exceptional attention to detail
  • Ability to manage multiple projects and deadlines simultaneously
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office (especially PowerPoint and Excel)
  • Comfortable working in a fast-paced, deadline-driven environment
  • Willingness to travel locally for events and provide occasional on-site or overnight support

Job Duties

  • Serve as the primary coordinator for in-person seminars, workshops, client events, sponsorship activations, and conferences
  • Manage all event logistics including venue coordination, vendor management, catering, registration, materials, signage, and on-site execution
  • Develop event timelines, run-of-show documents, and post-event recaps
  • Coordinate with brokers, leadership, and subject matter experts to ensure alignment on goals and messaging
  • Keep to a budget and manage event-related expenses
  • Maintain an annual events calendar and ensure alignment with marketing and business development strategy
  • Identify opportunities to enhance attendee experience and brand presence
