The Patient Concierge Coordinator position at Medpace is a pivotal role within a new global service initiative aimed at enhancing the patient experience during clinical trials. This role focuses on alleviating the financial and logistical challenges patients face when traveling from their homes to clinical sites. The coordinator acts as the main liaison between patients, clinic nurses, internal teams, and external vendors to streamline travel arrangements and manage reimbursements for out-of-pocket expenses. By coordinating travel logistics, overseeing regulatory filings, setting up new studies, and maintaining communication across all stakeholders, the Patient Concierge Coordinator ensures a smooth and supportive journey for the patient. This position requires close collaboration with the client, trial managers, technology teams, and finance departments to facilitate timely and efficient patient support, including website and system integration enhancements.

In addition to managing day-to-day operations, the Patient Concierge Coordinator is responsible for onboarding clinic nurses at new sites, coordinating translation services, and tracking financial metrics related to patient travel. The role demands flexibility, as occasional evening or weekend work may be necessary for urgent patient travel assistance. The ideal candidate will have strong organizational skills, a passion for patient advocacy, and the ability to handle multiple projects simultaneously. Experience in clinical research or healthcare settings, knowledge of global travel logistics, and fluency in Spanish—though not required—are advantageous.   • Knowledge of global travel logistics
  • Awareness of pharmaceutical clinical research processes
  • Prior experience in clinical research or healthcare environments
  • Willingness to work some evenings or weekends for emergency support
  • Proficiency in Microsoft Office
  • Strong organizational and multitasking skills
  • Ability to communicate effectively with diverse stakeholders

Job Qualifications

  • Bachelor's degree
  • Experience in a patient-facing role preferred
  • Knowledge and experience of global travel logistics, infrastructure and cost drivers
  • Understanding of pharmaceutical clinical research industry and patient impact
  • Prior experience within clinical research or healthcare settings
  • Spanish speaking is a bonus but not essential
  • Strong time management skills with ability to manage multiple projects
  • Proficient with Microsoft Office applications
  • Enthusiastic and determined to support a new service initiative
  • Team player with positive attitude and dedication to patient support

Job Duties

  • Serve as the main point of contact for patients and clinic nurses to manage travel and payment requests
  • Collaborate with clients and trial managers to establish guidelines for new studies
  • Perform new study set-up activities including portal addition, finance set-up, and regulatory filing
  • Onboard clinic nurses at new clinical sites
  • Liaise with patients and their caregivers or family members
  • Coordinate logistics and translation with outside vendors
  • Plan efficiently for future patient visits and optimize resource use
  • Track expenditures and prepare monthly financial reports
  • Maintain effective communication across all parties
  • Handle other assigned projects and responsibilities
  • Provide emergency travel assistance during evenings or weekends when necessary
