The Enrollment Office Coordinator is a vital member of the Admissions team at Christian Brothers University, playing a central role in delivering an outstanding prospective student experience across Undergraduate, Graduate, and International Admissions. This full-time non-exempt role is heavily focused on the planning, coordination, and execution of recruitment and yield events that are critical to meeting the university's enrollment goals. The coordinator functions as the operational backbone of major campus visit programs and events, ensuring that all logistics such as space reservations, catering, vendor coordination, staffing, and travel are managed seamlessly.

This role requires exceptional organizational and communication skills, combined with a proactive, detail-oriented approach to managing multiple priorities in a dynamic, fast-paced environment. The Enrollment Office Coordinator facilitates cross-campus collaboration to deliver student-centered, high-impact events that reflect CBU's standards of excellence and hospitality. In addition to robust event management responsibilities, the coordinator also administers operational communications, maintains detailed records, oversees budget tracking and vendor payments, manages promotional inventory, supports admissions counselors with travel and recruitment campaigns, and ensures departmental procedures comply with university policies.

  • Minimum 2 years of experience in event planning, operations, customer service, or admissions-related services
  • Demonstrated ability to manage multiple tasks and deadlines in a high volume, fast-paced environment
  • Strong communication and interpersonal skills with a commitment to exceptional customer service
  • Highly organized with meticulous attention to detail
  • Experience with CRM systems, especially Slate and/or event management software preferred
  • Ability to work independently while collaborating across diverse teams and stakeholders
  • Reliable transportation and valid driver's license required
  • Availability for evening and weekend work to support recruitment and event needs

Job Duties

  • Lead planning, coordination, and execution of all recruitment and yield events across Undergraduate, Graduate, and International Admissions
  • Oversee comprehensive events logistics, including space reservations, scheduling, staffing, catering, travel, vendor coordination, and hospitality needs
  • Serve as the central coordinator for multi-unit admissions events, ensuring seamless collaboration between Undergraduate, Graduate, and International teams
  • Manage event communication workflows, ensuring timely invitations, confirmations, reminders, and post-event follow-ups tailored to each audience segment
  • Support signature high-impact recruitment activities such as campus visit days, open houses, admitted student events, graduate program showcases, and international student engagements
  • Implement event evaluation methods to capture feedback and guide improvements across all three admission areas
  • Manage departmental communication flow related to events, scheduling, visitor coordination, and general inquiries
  • Oversee the Admissions inbox, providing timely responses to routing messages to appropriate team members
  • Coordinate outbound event-related communications using established templates and content created by Marketing/Admissions leadership
  • Collaborate with the Marketing department to schedule social media content related to events and visit programming
  • Maintain communication calendars and ensure Admissions teams are aligned on event dates, deadlines, schedules, and logistics
  • Manage and process purchase orders, invoices, vendor payments, budget tracking, and expense documentation for the Enrollment department
  • Maintain departmental records and documentation to support compliance, reporting, and efficient internal operations
  • Coordinate internal scheduling, meeting preparation, and cross-team communication between Undergraduate and Graduate Admissions
  • Maintain inventory of promotional materials and point-of-sale items, including ordering, organization, and distribution
  • Maintain an organized, inviting, and professional environment, including oversight of space upkeep and maintenance requests
  • Support admission counselors in planning travel schedules, college fairs, school visits, and community partner engagements
  • Assist with yield initiatives and strategic recruitment campaigns throughout the full enrollment cycle, from inquiry to enrollment
  • Serve as a collaborative partner with multiple departments to ensure alignment and support for the prospective student and family experience
  • Perform special projects as assigned by the Director of Undergraduate Admissions or senior leadership team
