Job Requirements
- High school diploma or equivalent
- previous administrative or coordinator experience preferred
- proficiency in Microsoft Office suite
- experience with Birchstreet, HotSOS, or similar systems preferred
- strong organizational and communication skills
- ability to manage multiple priorities
- discretion when handling confidential information
- ability to sit, stand, walk, bend, and reach for extended periods
- ability to lift, push, pull, and carry up to 30 lbs occasionally
- ability to navigate resort property including stairs and uneven terrain
- manual dexterity to operate office equipment
- ability to hear and speak clearly in person and via phone or radio
Job Qualifications
- Previous administrative or coordinator experience in hospitality, engineering, facilities, or property management preferred
- proficient in Microsoft Office Suite including Word, Excel, Outlook, and PowerPoint
- experience with Birchstreet and HotSOS or equivalent CMMS strongly preferred
- strong organizational and time management skills with attention to detail
- ability to handle sensitive information with discretion
- excellent written and verbal communication skills
- demonstrated ability to manage multiple tasks in a dynamic, fast-paced environment
- service-oriented mindset with a collaborative team spirit and a positive, can-do attitude
Job Duties
- Serve as the primary administrative support for the Engineering Department
- manage and track purchase orders, invoices, and expense documentation using Birchstreet and other systems
- coordinate supply ordering and inventory control of maintenance and facilities-related materials
- facilitate property management item replacements in coordination with housekeeping, front office, and ownership groups
- facilitate and communicate property management Owner Portal updates including FF&E and item replacement information
- support work order management processes through CMMS platforms such as HotSOS
- maintain departmental records, safety documentation, and compliance logs
- schedule and coordinate internal team meetings, training sessions, and project updates
- assist with onboarding documentation and communication for new Engineering colleagues
- respond to internal and external inquiries with professionalism and confidentiality
- facilitate communication between Engineering, Housekeeping, Front Office, vendors, and other departments
- monitor project timelines and alert leadership to pending deadlines or delays
- provide administrative support during property inspections, capital improvement projects, and emergencies
