Job Requirements

  • High school diploma or equivalent
  • 1-2 years of relevant experience in the travel industry or related field
  • basic knowledge of administrative and operational travel tasks
  • ability to handle stressful situations and multi-task
  • good communication skills
  • proficiency in office software
  • valid driver’s license
  • ability to occasionally lift and move up to 25 pounds
  • availability to work normal business hours with occasional after-hours and weekend work
  • willingness to travel domestically up to two times per year

Job Qualifications

  • Possesses 1-2 years of experience in the travel industry or equivalent skills in one’s expertise
  • basic knowledge and skills to perform day-to-day responsibilities
  • able to use general office equipment including phones, fax, copier, personal computer, and scanner
  • familiar with Windows operating system, MS Office, SABRE, CONCUR, and DEEM software
  • possesses a driver’s license

Job Duties

  • Issue and mail vouchers for some suppliers
  • issue second and past due invoices including payment requests and refund amounts
  • prepare itineraries and other documents for group guides and escorts
  • assist group onsite operations such as hotel check-in, restaurant support, and bus dispatch
  • handle accidents at the time of occurrence and report to management
  • make trip schedule modifications like delays or returns
  • communicate with emergency contacts in Japan
  • manage irregular incidents like flight delays and cancellations under supervision
  • report to related agencies and suppliers promptly
  • answer client inquiries and questions
  • settle accounts receivable as needed
  • resolve customer issues and complaints and report summaries to superiors
  • provide feedback and suggestions on issue solutions and communicate with internal departments
  • provide feedback to related suppliers
  • report customer feedback to management
  • promote on-tour sales and control accounts receivable
  • control guide service quality
  • propose sales materials and increase profits
  • assist and accompany specific groups
  • seek continuous improvement in work processes
  • perform special projects and other duties as assigned
  • maintain high ethical standards
  • report irregular issues to superiors
  • maintain good communication with superiors, staff, and outside contacts
  • comply with company policies and procedures
  • maintain a clean and safe working area
