Job Requirements

  • High school diploma or equivalent
  • Minimum 2–3 years of experience in administration, reception, or client service
  • Ability to handle confidential information with discretion
  • Proficiency in Microsoft Office Suite
  • Flexibility for occasional evening work and limited travel
  • Ability to sit, stand, walk, lift 10 lbs, and use standard office equipment
  • Must be able to travel independently including occasional overnight stays
  • Professional demeanor and client-first mindset
  • Strong organizational skills and multitasking ability

Job Qualifications

  • High school diploma or equivalent required
  • Associate or bachelor’s degree preferred
  • Minimum 2–3 years of experience in administration, reception, or client service
  • Experience in event coordination and/or financial services is a plus
  • Excellent verbal and written communication skills
  • Strong organizational and multitasking abilities
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

Job Duties

  • Greet and assist clients, guests, and team members with professionalism and warmth
  • Serve as the first point of contact in person, on the phone, and via email ensuring inquiries are handled promptly and accurately
  • Create a welcoming, professional environment that reflects the firm’s values
  • Anticipate client and advisor needs providing proactive support beyond reception duties
  • Manage calendars, schedule meetings, and coordinate logistics for advisors
  • Maintain office operations including mail, supplies, vendors, and facility coordination
  • Process client account checks with accuracy ensuring compliance with FINRA/SEC requirements
  • Support compliance processes through document management and timely, accurate recordkeeping
  • Help organize client events, appreciation activities, and team-building experiences
  • Coordinate logistics for meetings, conferences, and community involvement
  • Support onboarding of new employees by preparing workstations and orientation materials
  • Contribute to a positive, collaborative office culture through proactive engagement
  • Provide administrative assistance across departments as needed
  • Address and route client or team requests escalating issues when appropriate
  • Support special projects or additional administrative duties as assigned
  • Ensure all activities comply with company policies and procedures
